The Administrative Coordinator for the Department of Art at East Texas A&M University (ETAMU) manages the daily operations of a busy academic department delivering excellent support for students and faculty and maintaining familiarity with ETAMU and A&M System procedures processes and related deadlines including Purchasing and Expense Reporting; recording and entering the semester course schedules collecting and uploading faculty information and syllabi room scheduling/risk assessment requests (important for the many publicfacing events for the gallery and department workshops) and hiring procedures for student workers and adjunct faculty as well as supporting the Department Head with ongoing curricular assessment accreditation and fiscal reporting and special requests.
The Art Department housed within the College of Humanities Social Sciences and Arts boasts over 200 majors with multiple Degree Programs including the BFA in Studio (with concentrations in Ceramics Painting Sculpture and Experimental Studies) BFA in Photography (with both a Commercial and a Fine Art concentration) and BFA in Visual Communication (with concentrations in Design Art Direction and Motion Graphics. The Department also offers a BA in Studio a BA in Art Education (in collaboration with the College of Education) and minors in Studio and Photo. The Department makes use of 3 specialty studio buildings on the Commerce Campus; the Visual Communication program is located in the ETAMU Dallas building. The Department also manages 3 galleries on the main campus for professional visiting artists and student works offering many openings and receptions for students faculty and visitors.

DUTIES & RESPONSIBILITIES:
- Participates in the planning and of administrative operations. Monitors office procedures and develops evaluates and ensures adherence to office procedures. Provides organizational planning and problem solving skills.
- Performs word processing desktop publishing presentation and data management activities and assists faculty and staff with the use of these applications. Composes correspondence reports publications and presentations including editing and proofreading.
- Reviews documents for Supervisor. Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures services or programs.
- Applies and interprets and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches interprets compiles and responds to inquiries about rules regulations policies and procedures. May monitor compliance with policies and procedures.
- Performs special analyses and project summaries including assisting in the preparation of department budget tracking monthly expenditures and supporting Supervisor in ensuring responsible disbursement of state and local funds.
- Coordinates travel arrangements and prepares itineraries. Coordinates meetings seminars and other special events and may provide onsite support.
- Maintains a variety of fiscal administrative and academic records. Verifies processes and reviews forms reports tables and other documents. Posts information to agency records and modifies forms or records. Verifies processes and reviews forms reports and other documents.
- Coordinates the maintenance of office supplies and equipment. Makes recommendations for process improvements administrative changes or new initiatives. Maintains office reference materials. May deliver pick up or receive documents supplies or materials.
- Hires trains and supervises student workers and support staff including processing complex confidential matters.
- Assists in the planning of special events. Makes arrangements for meetings appointments conferences and travel. Set up meetings seminars and other special events to include facilities equipment and food.
- Other duties as assigned by Supervisor.
MINIMUM REQUIREMENTS:
- Education: Bachelors degree or high school diploma/GED or the equivalent and two years of administrative support or secretarial experience or an equivalent combination of education and experience is required.
- Experience / Knowledge / Skills: Two 2 years of related experience are required. The ability to operate and troubleshoot electronic office equipment computers and peripherals is required. Excellent verbal and written communication skills are required.
- Ability to: Multitask and work cooperatively with others. Work with sensitive information and maintain confidentiality. Organize and set priorities maintain records interpret and prepare reports and compose memoranda and letters.

- Physical Requirements: Ability to sit for extended periods during scheduled shifts some supply room organization/light lifting.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:
A degree is preferred. Proficiency with FAMIS/CANOPY WorkDay LaserFiche SharePoint EllucianBanner and Concur is preferred. Administrative support experience within an academic unit/division in higher education is preferred. Experience in maintaining monitoring and reconciling financial records and accounts is preferred. The ability to lift 25 lbs. and (infrequently) travel between multiple locations for offsite work assignments are preferred.
