About the Role
Infrastructure Engineering Inc. (IEI)is looking for a Workforce Coordinatorto join our Chicago Team! We are a leading engineering firm known for quality and responsiveness and a proven track record of success as a Prime civil engineering firm. The Workforce Coordinator role will support a government agency in coordinating public outreach and community programs.

Essential Duties/Functions and Responsibilities:
  • Coordinating meetings and events including preparing documentation presentations and project visuals.
  • Organize and attend community events.
  • Monitor and update the project management website.
  • Coordinate review of project deliverables attending meetings with contractors clients and other stakeholders.
  • Review and disseminate incoming deliverables from the contractor client or other stakeholders to appropriate parties for review comment and acceptance.
  • Read understand and interpret project and contract documents.
  • Create and coordinate project information and documentation with project staff to ensure they have and are working from the most current approved information to support project delivery.
  • Work closely with project team to prepare and maintain reports track logs or other documents/deliverables for various project activities and contract requirements.
  • Coordinate internal and external communication related to the project between the project manager engineering team management contractors and vendors.
  • Engage nearby community organizations elected officials and schools in project area to best leverage contract goals.
  • Maintain a high level of professionalism in supporting the teams effort in maintaining the highest level of client satisfaction.
  • Exercise responsible and ethical decisionmaking regarding company funds and resources. Adhere to Code of Conduct and related policies and procedures.
  • Respond timely to requests made by the project team client contractors and other project stakeholders.
  • Acclimate summer interns to project scope and assign tasks as needed.
  • Other duties as requested by the project or client.
Education and/or Experience:
  • Bachelors degree and experience working in a professional environment; work experience may be considered in lieu of a degree.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook Teams) as well as adaptable in using client specific software applications and project management tools.
  • Hands on experience using graphic design software such as Publisher PowerPoint and/or Adobe Suite software is a plus.
  • Familiarity around the submittal of engineering process of the projects (Safety Quality Engineering etc) desired.
  • Advanced experience with scheduling of multiple calendars in MS Outlook.
  • Former experience with CTA RTA or local transportation a plus.
  • Prior community involvement and/or event scheduling experience preferred.
Knowledge and Skills:
  • Proficient organization and time management skills with the ability to prioritize tasks.
  • Demonstrated ability to process and analyze complex information; and able to understand the Big Picture
  • Demonstrated ability to exercise sound judgment and make good decisions.
  • Good written communication skills including technical writing; including proven skills in taking meeting minutes/notes
  • Good public speaking skills and comfortable addressing groups of people; anddisplaying appropriate interpersonal skills; setting personal boundaries; as well as recognizing business relationships and following the chain of commands
  • Verbal speaking skills sufficient to speak communicate with varying levels of individuals and convey complete thoughts and messages.
  • Literate in technology usage including laptop cell phone tablets copiers scanner and other general office equipment.
Other Qualifications:
  • Must have daily reliable transportation and/or means of transportation to the office and project sites.
  • Must be available to work evening hours on occasion.
Physical Demands
The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is frequently required to sit and talk or hear. The employee is frequently required to stand walk; use hands to fingers type on a keyboard look at a computer screen and handheld technological devices such as cellular phones and tablets. While performing these duties the employee may occasionally handle or feel objects tools or controls; reach with hands and arms; and stoop kneel or crouch. The employee may lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
Working Conditions
  • Usually works in an office setting and may occasionally work in outside weather conditions.
  • 2025 local Chicago travel to construction sites event locations.
  • Occasionally exposed to wet and/or humid conditions or inprogress construction hazards: fumes toxic chemicals risk of electric shock and vibration.
  • Must be physically capable of walking and moving about on the construction sites at event locations and have good handeye coordination.
  • Usually works a standard 40hour workweek including daytime evenings and occasionally weekends.
  • Sometimes required to work extra hours including weekends to attend community events and meetings impacting the project.
