Overview:
As an HR Intern focusing on Documentation and Employee Records Management will assist the HR team in organizingmaintaining and updating employee records as well as supporting variousadministrative tasks related to HR documentation. This role offers an excellentopportunity to gain practical experience in HR processes and ensure that the HRdepartment runs smoothly.
Requirements:
Currently enrolled in or recently graduated from adegree program in Human Resources Business Administration or a related field.
Strong attention to detail and ability to managelarge amounts of information accurately.
Interest in HR administration and employee recordsmanagement.
Excellent organizational and timemanagementskills.
Strong written and verbal communication skills.
Ability to work independently as well as part of ateam.
Proficient in Microsoft Office Suite (Word ExcelPowerPoint).
Knowledge of HR software and recordkeeping systemsis a plus but not required.
Ability to maintain confidentiality and adhere todata protection laws.
Key Responsibilities:
1. Employee Records Management:
Assistin maintaining and updating employee records in the HR database ensuring accuracycompleteness and compliance with privacy laws and company policies.
2. Documentation Management:
Help organize and maintain all HRrelateddocuments including employee contracts performance reviews trainingcertifications and benefits information.
3. Filing & Data Entry:
Support the team in digitizing and filing importantemployee documentation ensuring that records are easily accessible whenneeded.
4. On boarding Documentation:
Assist with the preparation and organization of on boardingpaperwork for new hires ensuring all necessary forms are completed and filed.
5. Employee File Audits:
Support regular audits of employee records toensure compliance with legal requirements and internal policies.
6. HR Reports:
Assist in preparing HRrelated reports bycollecting and organizing data from employee records and ensuring timelyupdates of employee information in HR systems.
7. Confidentiality & Compliance:
Ensure all employee information is handledconfidentially and in compliance with data protection and privacy regulations.
8. General HR Support:
Provide administrative support to the HR team asrequired including assisting with the preparation of presentations handlingcorrespondence and coordinating meetings.
