Job Description

Salary Range: $21.11$30.44 per hour

SUMMARY

Housing for Health (HFH) is a program office within Health Services Administration a division under the Los Angeles County Department of Health Services (DHS). HFH supports the Los Angeles County Homeless Initiative recommendations support the Countys effort to address and combat homelessness in the communities within Los Angeles County.

In June 2022 the Los Angeles County Board of Supervisors directed HFH to collaborate with several other county departments the CEO Homeless Initiative and the City of Los Angeles to develop the Skid Row Action Plan (SRAP) an intentional and targeted plan aimed at addressing the crisis of homelessness on Skid Row which has been exacerbated over time due to decades of institutional racism. The SRAP includes several strategies to address homelessness in this area including the development of the Safe Services Hub.

The Safe Services Hub is a centralized communitydesigned access point where a wide network of service providers will collaborate to offer comprehensive resources and support services. These services are specialized to meet the diverse needs of the community ensuring lowbarrier accessibility and holistic care in one location.

The Safe Services Staff Assistant I plays a crucial role in Housing for Healths Safe Services team providing essential administrative support for project management. Their responsibilities include budget oversight program coordination data entry and personnel supportall aimed at directly benefiting people experiencing homelessness. This role also assists with overall project coordination ensuring that Safe Services leadership and stakeholders can effectively track and achieve key deliverables.

ESSENTIAL FUNCTIONS

  • Performs highly specialized clerical and typing duties that require a working knowledge of specialized subject matter as well as the use of initiative and judgment within procedural and policy guidelines
  • Frequent data entry/input compilation and data retrieval on various HFH databases programs spreadsheets systems etc.
  • Supports in the development of resources and tools utilized by Safe Services staff to track and assess project progress and needs.
  • Supports Safe Services staff in the analysis of issues and problems as they arise and provides preliminary recommendations for solutions.
  • Coordinates with appropriate HFH and other county staff in the ordering and delivery of program supplies as needed.
  • Frequent communication via email and phone with contracted referring parties to ensure appropriate documentation is submitted and received.
  • Frequent use of an array of Microsoft Office Suite software programs such as Word Excel PowerPoint Access Teams Adobe Reader One Note Outlook Publisher Skype Outlook etc.
  • Screens telephone calls; furnishes requested information refers inquiries calls and emails to others better qualified to assist and personally takes care of inquiries and calls which do not require the attention of HFH management.
  • Replies to verbal and written communications.
  • Prepares and photocopies meeting materials agendas handouts training materials presentations etc. as required by HFH personnel.
  • Coordinates and schedules applicable internal and external personnel (e.g. HFH personnel and/or HFH community/contracted agencies) with respect to HFH trainings meetings events etc.; maintains training calendars vacation calendars etc. as needed.
  • May provide data entry/input compilation and data retrieval on various HFH databases programs spreadsheets systems etc.
  • Performs other duties as assigned.

JOB QUALIFICATIONS

  • Excellent verbal and written communication skills.
  • Capacity to prioritize and meet deadlines.
  • Strong computer skills ability to learn and adapt to various databases.
  • Advanced proficiency in Microsoft Office Suite.
  • Excellent customer service skills able to establish and maintain strong and collaborative professional relationships.
  • Interest in working on projects that serve the homeless population of greater Los Angeles County.

Education/Experience

One years experience in either 1 a staff capacity analyzing and making recommendations for the solution of problems of organization procedure program budget or personnel or 2 a highly responsible secretarial capacity or 3 a responsible supervisory clerical capacity.

Certificates/Licenses/Clearances

  • Successful clearing through the Live Scan process with the County of Los Angeles.
  • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out jobrelated essential functions.

Other Skills Knowledge and Abilities

  • Experience in providing assistance to vulnerable populations e.g. people who are experiencing homelessness or at risk of being homeless
  • Proficient skill set in using an array of Microsoft Office Suite software programs such as Word Excel PowerPoint Access Adobe Reader One Note Outlook Publisher Skype Outlook etc.
  • Able to multitask and set workload priorities for time sensitive projects/tasks.
  • Able to communicate with all levels of personnel e.g. written verbal in a professional and concise/clear manner; ability to work within a project team and/or independently.
  • Able to work in a very diverse environment and with diverse individuals.
  • Ability to be flexible in meeting changing work tasks and timelines; must be dependable and reliable.
