As a Manager Assistant you will be responsible for providing administrative support within Patient Services.

What will you do:

  • Provide administrative and project support to the Manager(s); including chart audits outcome measurement and evaluation data processing and simple reporting;
  • Setting up and maintaining electronic and paper office filing systems;
  • Coordinating and arranging meetings including scheduling meetings; booking meeting rooms; preparing and forwarding agendas and documents; taking minutes;
  • Assisting and coordinating projects and initiatives to support the portfolio;
  • Ensure Senior Manager (s) has necessary documentation for scheduled meetings;
  • Directing and responding to telephone and inperson inquiries from a variety of internal and external contacts;
  • Prepare memoranda spreadsheets and other documentation required to support the daytoday business activities;
  • Participate in the preparation of policies and procedures forms and guidelines;
  • Communicate with external parties on behalf of the Senior Manager(s);
  • Prepare PowerPoint presentations as required;
  • Working as a member of the team to ensure efficient effective and quality service are provided consistent with the overall vision mission and values of the organization;
  • Perform other duties as assigned or required.

What must you have

  • Secondary education plus additional program/course of up to 6 months or equivalent;
  • 23 years experience in a similar administrative role;
  • Demonstrated knowledge and commitment to continuous quality improvement principles and practices including the ability to facilitate innovation and creativity;
  • Demonstrated excellent working knowledge of Microsoft Office (Word Outlook Power Point and Excel) with the ability to produce reports and presentations with visual additions such as charts graphs tables flow charts and diagrams;
  • Ability to handle sensitive and confidential information in a discreet and professional manner;
  • Excellent time management and organizational skills combined with the ability to prioritize and to balance the workload requirements meeting competing deadlines with minimal supervision;
  • Excellent interpersonal diplomacy communication and presentation skills;
  • Experience in dealing with the public effectively; demonstrated focus on customer service;
  • Exemplary telephone skills legible handwriting and good analytical/organizational skills to meet deadlines and solve problems;
  • Knowledge of community resources;
  • Advanced skills in conflict resolution;
  • Demonstrated ability to work well within a team;
  • Demonstrated ability to work in and respond to a dynamic and changing environment;
  • Excellent verbal and written communication skills and effective interpersonal skills.

What would give you the edge

  • Knowledge of services provided by Ontario Health atHome;
  • Ability to speak French or another second language

Hours of Work

8:30 a.m. 4:30 p.m. Monday to Friday subject to change as per the Collective Agreement 35 hours per week; 70 hours per biweekly pay period).

Position Location and Travel

Travel may be required a valid drivers license and access to a vehicle is required.
