Job Title

Space Planning Manager

Job Description Summary

The role focuses on managing monitoring and reporting space utilization across the CLIENT Commercial portfolio in alignment with Client Property strategies.

Job Description

Key Responsibilities:

Project and Property Strategy Support

  • Monitor Turnstile Reporting across multiple sites for reporting of site utilisation at a business unit level

  • Manage delivery of space/utilisation solutions using the Space Management Tool portal for collection of accommodation utilisation data from business units

  • Support projects and re stack solutions to maximise space and manage logistics relating to all relocations

  • Manage Change & Communications program to support and sustain environments following flexi guidelines and site specific strategies

  • Support the site disposal strategy by restacking and exiting sites managing relocations

  • Liaise with CLIENT IT Contractors relocation consultants and providers Property Customer Relationship Managers and key Business Unit contacts

  • Ensure all churn requests are accurately recorded in the space management tool

  • Development of process maps and guides to ensure consistency and minimise risk

  • Assist and drive the development of property options for new churn requests

  • Management of removalists on site and follow up Day 1 support

Database Records Management

  • Update and maintain Accommodation database and Churn Register

  • Maintain the space management database to ensure it correctly records space allocation and space usage

  • Manage issues relating to performance of the space management tool for both

  • Resident and Administrator users

Space Management Utilization

  • Assist the Customer Relationship Managers and key Business Unit stakeholders with the strategic planning of future accommodation requirements.

  • Review commercial tenancy space utilisation and look for opportunities to ensure the use of the space is maximised and make recommendations for improved tenancy performance

  • Allocate and track space occupied by individual business units for recharge purposes including periodic space allocation reporting

  • Undertake regular audits of the Commercial portfolio reported in the space management tool to ensure occupied and vacant desks are reported according to CLIENTs Business Rules

  • Liaise with Property Customer Relationship Managers and Business Unit Finance representatives to ensure allocations are correct and approved

Background and Experience

  • Strong experience in Front of house roles in Legal Hospitality or Airlines in a customer service role

  • 35 years of experience in space planning facilities management or a related field.

  • Proven experience in managing and optimizing office spaces workspaces or commercial real estate portfolios.

  • Professional verbal and written communication skills

  • Ability to multitask

  • Able to demonstrate a commonsense approach to problem solving

  • Experience supervision a team with direct reports

Qualification:

  • Minimum completion of Higher School Certificate

  • Minimum Certificate III in Hospitality preferred

  • Professional certifications may be beneficial

  • Australian Citizenship required

  • Currently hold or must be willing to obtain security clearance
