Job Description

Were on the lookout for a reliable and organised Admin and Operations Executive to support our management team and help ensure smooth daily operations across Singapore Malaysia and Indonesia.

This role combines classic administrative responsibilities with handson operational coordination perfect for someone who enjoys keeping things running behind the scenes while staying connected with clients and teams on the ground.

  • Manage incoming and outgoing correspondence including email mail packages and faxes
  • Answer screen and direct phone calls; relay messages and provide information as needed.
  • Perform data entry tasks including keying customer orders updating internal systems and processing transactions.
  • Generate delivery orders receipts and sales invoices.
  • Monitor and order office supplies and inventory; liaise with suppliers when necessary.
  • Coordinate and set up client meetings site visits or operations planning sessions across Singapore Malaysia and Indonesia.
  • Maintain a shared calendar for leadershiplevel engagements and sitebased operations.
  • Assist in the preparation of presentations travel itineraries meeting agendas and reports.
  • Act as the administrative point of contact between external partners vendors and internal stakeholders.


Requirements

  • Minimum 2 years of experience in an administrative or operations support role.
  • Basic Proficiency in Microsoft Office (Word Excel PowerPoint Outlook).
  • Familiarity with basic invoicing document management and appointment systems.
  • Written and verbal communication skills in English & Bahasa (BM or BI)
  • Experience with Indonesia Market
  • High level of discretion professionalism and attention to detail.
  • Willingness to travel or coordinate across regional teams when needed.
