As a Paralegal for Estate Administration/Probate you will manage a high volume of estate cases guiding clients through probate filings trust administration and asset distribution. Your role involves gathering essential documents identifying potential obstacles developing strategic solutions and ensuring estates are closed efficiently. This position requires both empathetic client communication and meticulous legal case management to provide peace of mind to those navigating the probate process.
Requirements
Key Responsibilities
- Client Coordination & Communication
- Lead clients stepbystep through estate settlement probate filings and trust administration processes.
- Communicate regularly (phone email Zoom) to keep them apprised of progress next steps and to answer questions with clarity and compassion.
- Case Strategy & Organization
- Collaborate with an attorney and another experienced paralegal to develop a Declaration of Inventory for each case detailing goals tasks and anticipated obstacles.
- Maintain organized case files and progress checklists to ensure consistent structured workflow.
- Document Collection & Preparation
- Gather and review documentation (e.g. 1099s Social Security statements home sale records) needed to finalize estate and trust administration.
- Coordinate with banks IRS and other institutions to obtain essential records.
- ProblemSolving & Process Improvement
- Anticipate challenges such as missing documents or unclear property transfers and propose creative compliant solutions (i.e. Plan B in collaboration with the team.
- Identify opportunities to streamline and improve existing estate administration processes.
- Compliance & Reporting
- Track critical deadlines and ensure timely filings of final tax returns court submissions and closing statements.
- Maintain accurate uptodate records of all communications filings and compliancerelated tasks.
- Team Collaboration
- Participate in weekly meetings to discuss case progress troubleshoot challenges and brainstorm ways to refine and improve workflows.
- Provide input and feedback to enhance the client experience and the firm s overall approach to estate administration.

Qualifications
- Experience: Paralegal legal assistant or case manager background preferred especially in probate/estate administration.
- Skill Set: Strong organizational and communication skills; ability to manage multiple ongoing tasks in a fastpaced environment.
- ProblemSolving: Ability to think creatively and methodically to overcome caserelated challenges.
- Mindset: Positive proactive and dedicated to helping clients move forward even under stressful circumstances.
- Technology: Comfortable working in legal case management systems using email and quickly adapting to new software tools.

- Type: 1099 contract role with a 3month probationary period.
- Hours & Location: Flexible depending on client volume and your availability with a goal of ensuring timely communication and case progress. Can work from our office based in Glenview IL or remote during CST time. Must be US based.
