Job Description

Position: Executive Assistant
Reports To: CEO
Location: Remote offshore open to candidates from LATAM South Africa and the Philippines.


Are you a dynamic highly organized and techsavvy executive assistant with a passion for supporting mental health innovation We are a fastpaced highenergy mental health company looking for an exceptional Executive Assistant to support our bold and visionary CEO. If you're a Type A gogetter who thrives in a fastmoving environment can juggle competing priorities and aren't afraid to speak up and challenge the status quo to drive better processes—then we want you on our team!

Key Responsibilities:

  • Scheduling Mastery: Take charge of the CEO’s busy calendar ensuring that all meetings travel and personal commitments are efficiently coordinated. You’ll handle complex scheduling prioritize timesensitive matters and seamlessly shift priorities on the fly.
  • Managing Priorities: You’ll act as the gatekeeper for the CEO's time and attention making sure that their focus is on the right tasks and that deadlines are met. You'll constantly be moving priorities around and ensuring that nothing important slips through the cracks.
  • Independent Thinking: Be a proactive problem solver. You’ll need to think on your feet critically analyze situations and take the initiative to solve challenges without waiting for instruction.
  • Managing Conflict in Priorities: When the CEO has conflicting demands or priorities you’ll help resolve these issues swiftly finding the best solutions while keeping everyone aligned and productive.
  • Bold Process Improvement: Challenge the norm and introduce better processes. You’re empowered to suggest improvements and streamline workflows and we value your opinion if something isn't working. If you think a process could be better don’t be afraid to speak up—change is encouraged.
  • Liaison & Communication: Act as the key point of contact between the CEO and the rest of the team clients and external stakeholders. You’ll handle sensitive communication with discretion ensuring that the CEO’s voice is clearly represented in all matters.
  • Tech & Tools Savvy: Use technology to your advantage. You'll manage communication tools project management software and collaboration tools ensuring that everything is running efficiently. Be the goto for techrelated challenges and integrate new tools that improve the CEO’s workflow.
  • Confident Decision Making: You will have to make quick confident decisions to keep the CEO's day on track offering insights and recommendations when needed.
What We’re Looking For:
  • Type A GoGetter Attitude: You're not afraid of a challenge and have a strong driven personality. You know how to make things happen and won’t back down when it’s time to make tough decisions or take action.
  • TechSavvy: You’re a whiz with computers apps project management software and digital tools. You understand the importance of using tech to stay organized productive and efficient. Familiarity with tools like Slack Asana Zoom Google Suite Microsoft Office etc. is essential.
  • StrongWilled and Assertive: You should be confident enough to disagree with the CEO or push back when something doesn’t feel right or could be improved. The ability to say “no” in a respectful but firm way is important.
  • Superb Organizational Skills: You can juggle multiple tasks at once without breaking a sweat. You thrive on keeping everything moving smoothly and ensuring the CEO’s world runs like clockwork.
  • Critical Thinking and ProblemSolving: You’ll face fastchanging situations that require quick strategic thinking. You need to think independently identify potential solutions and act on them without waiting for the green light.
  • Experience Supporting HighLevel Executives: You’ve worked in a highenergy environment before supporting top executives or entrepreneurs. Bonus if you have prior experience in the mental health or healthcare industries.
  • Discretion & Professionalism: You will have access to sensitive information and maintaining confidentiality with integrity is paramount.
Qualifications:
  • 3 years of executive assistant or highlevel administrative support experience
  • Strong knowledge of office management software and tools (Google Workspace Microsoft Office Suite project management software like Asana or Trello)
  • Ability to handle stressful situations with grace and confidence
  • Excellent communication skills both written and verbal
  • Detailoriented with excellent time management skills
  • Ability to prioritize and manage multiple tasks at once
  • Proactive resourceful and solutionoriented
