We are now looking for an experienced Order Administrator to join our team in Kochi India.
About the Role
We are looking for a proactive and detailoriented Order Administrator to join our team. In this role you will be responsible for handling customer orders ensuring seamless order processing and facilitating smooth communication between internal and external stakeholders. If you thrive in a structured environment enjoy working with customers and have a keen eye for detail this role is for you!
Key Responsibilities
- Order & Quotation Management: Create quotations based on customer inquiries received via email ShipServ and Kinetic Solutions.
- Order Processing: Handle sales and purchase orders ensuring accuracy and timely confirmation to customers.
- Logistics Coordination: Liaise with customers and logistics teams to ensure timely dispatch and delivery of orders.
- Documentation: Prepare and send shipping documents to customers postdispatch.
- Customer Support: Address customer queries related to stock availability order status and technical compatibility.
- ERP & Data Management: Maintain and update customer profiles in the ERP system.
- Returns & Quality Control: Process Return Material Authorizations (RMA) and NonConformity Reports (NCR) for corrective actions.
- Financial Adjustments: Process credit notes for discrepancies in charges.
- Continuous Improvement: Participate in monthly followup meetings with Market Companies to improve workflows and efficiency.
- Replacement Orders: Handle the processing of replacement orders as needed.
- Proactive Communication: Ensure all stakeholders are informed about material delays warehouse capacity and other logistics updates.
Who You Are
- Education: Graduate or Postgraduate in any discipline.
- Skills & Experience:
- Strong organizational and multitasking skills.
- Excellent attention to detail and problemsolving abilities.
- Good communication skills (written and verbal).
- Experience with ERP systems is a plus.
- Prior experience in order administration or logistics coordination is an advantage but not required.
