Job Description

Job Summary:

Our growing company has been a leader in the family and children s photographer for over 25 years. We are seeking a strong can do Administrator to keep things on track in a very very fast paced environment. Being able to juggle constant shifting priorities with attention to detail and multitasking is a must. We are a high volume operation. Taking hundreds of kids photos weekly with very fast turn around times. Being able to eventually improve processes and systems is required. Reporting to and working alongside the Managing Director you will be involved in all areas of my small business managing the busy work flow customer service coordinating events/event management and handling all photography work from the team of photographers to the lab.
  • Monitoring and following up on all photographic bookings and events.
  • Setting up all events for photographers in Eventbrite.
  • Database management Infusion Soft/Keap.
  • Supporting all marketing campaigns activities.
  • Managing Social Media Linked In and the likes.
  • Handle all daytoday customer inquiries by email and telephone.
  • Be able to create work flow charts and record all tasks for concise business practices and training.
  • Create photo galleries and loading all photos cross checking missing folders and communicating with photographers on all questionable items.
  • Create google run sheets from Eventbrite for photographers to follow at their shoots.
  • Tracking and reporting on photographic sales.
  • Preparing photo orders and uploading into drop box for the lab to print and return to our Melbourne Office.
  • Emailing all the required information to organizers of our events to ensure they have all they need to run our successful events.
  • Taking directions from the Managing Director as required regarding quality control ensuring timely deliveries of everything and ad hoc items.

Requirements

Requirements/Skills Needed:
  • Excellent communication skills both written and verbal.
  • High level attention to detail excellent planning and organization skills.
  • Ability to pick up new software platforms easily.
  • Have a structured approach with the ability to work autonomously on set daily/weekly tasks.
  • Experience working under constant time pressures.
  • Experience working in a similar busy Office.
  • Excellent computer skills.
  • Can start and finish tasks with shifting priorities.

Technical Qualifications:
  • Bachelors degree in Business Administration Marketing Communications or a related field is preferred.
  • 3 years of experience in administrative support or a similar role.
  • Proficiency in CRM tools like Keep (formerly InfusionSoft) and event management platforms like Eventbrite.
  • Strong computer skills including experience with Google Workspace (Calendar Sheets) and Dropbox.
Additional Job Details:

Setup and Location: WFH/Hybrid
Work Schedule: 8:00 AM to 05:00 PM AU Time 05:00 AM 02:00 PM PH Time)
Employment Type: Fulltime

Requirements/Skills Needed: Excellent verbal and written communication skills. The ability to operate efficiently and deliver excellent service when under pressure.
