Anticipated Hiring Range:$4262 max

Work Schedule:8:00am 5:00pm


THE DEPARTMENT:

The Registrars Office is responsible for the security integrity and accuracy of academic records degree progress and evaluation services and the coordination and implementation of academic policies and procedures with academic departments and colleges. The Registrars Office conducts all registration activities oversees articulation agreements with other colleges and universities processes grades maintains accurate student records verifies student enrollment data monitors academic standing evaluates transfer credit certifies enrollment provides preliminary graduation evaluations verifies degree requirement completion and issues diplomas. The Registrars Office provides counsel to students as they advance from matriculation to graduation. As a core functional area within Enrollment Management & Services the office plays a leadership role in enrollment management and planning in conjunction with other campus constituents. The office is responsible for compliance with federal state CSU system and University requirements and the timely and accurate dissemination of information to students parents campus constituents the CSU Chancellors Office and the external community.

DUTIES AND RESPONSIBILITIES:

EVALUATION:

  • Processing academic petitions fetching and posting transfer credit work in PeopleSoft and making adjustments when necessary.
  • Evaluating transfer credit and determining equivalency and transferability based on national guidelines formal articulation agreements Title V and university policies.
  • Assist in processing preliminary graduation reviews and evaluating student progress towards degree.
  • Reviews and applies as appropriate approved adjustments to academic requirements and student records from associate deans department chairs and advisors ensuring compliance with Title V and university requirements.
  • Assist Transfer and Graduation Advisors (TGAs) in identifying and submitting new transfer credit rules to be created in PeopleSoft.
  • Research the appropriate date ranges to be used for transfer credit rules. This involves researching the start and end dates of course articulations in the ASSIST and/or Transfer Evaluation System (TES) databases hard copy articulation documentation in the department CPP course catalogs and conferring with the Articulation Officer and/or the TGAs as needed.

ADMINISTRATIVE SUPPORT:

  • Provide administrative assistance to the department in completing evaluation related tasks that include:
  • Responding to email inquiries from the general TGA email inbox
  • Provide additional support and customer assistance as needed during peak times (ex registration graduation clearance).

QUALIFICATIONS:

  • Equivalent to completion of a formal training program in academic records evaluation OR one year of academic records evaluation experience OR any 12month combination of training and experience related to academic records evaluation.
  • Knowledge of the format and interpretation of course records and transcripts of institutions of higher education; knowledge of authenticating course credits and comparing records of differing formats such as foreign records; knowledge of campus curriculum requirements for majors minors terminal degrees and special program designations and knowledge of application of campus resource guidelines for making determinations using various criteria.
  • Ability to be thorough consistent and accurate in the interpretation of records against criteria; ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process; ability to maintain resources which document and update criteria; ability to explain criteria and evaluations to others; ability to make accurate records; ability to organize work to meet deadlines; ability to safeguard the confidentiality and security of records.


PREFERRED QUALIFICATIONS:

  • Familiarity with California community college courses

CSU Classification Salary Range

This position is part of the APC bargaining unit 4. The CSU Classification Standards for this position are located on theCSU Classification Standards website.The CSU Salary Schedule is located on theCSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $4262 and maximum $5998 per month. University Driving Requirement

Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Drivers license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points if their license is Class C or 4. Not have more than 5 DMV Points if their license is Class A B or C with endorsements. For more information go to the
