Primary Purpose of the Position:
This position is responsible for providing support to enable the Sales Team to achieve (or exceed) sales targets and business objectives.
This position contributes to the overall success of the client by following agreed processes to ensure routine sales and administrative activities are completed accurately and ontime products and services are received and distributed promptly and customers of the client are provided with a great customer experience.
Decision Rights:
Accountable: Prioritisation of work to meet customer and Sales Team timelines. Selection of appropriate vendor and product/service from an approved list. Being an authentic and effective ambassador for the client (their business our values our brands our services and our people).
Shared Responsibility: Contract profitability. Building and maintaining the reputation and brand of GPK Group.
Consulted: Productisation of the client products and services.
Key Accountabilities & Outcomes
Sales administration
Receives and responds to calls messages and emails professionally.
- Calls messages and emails are attended to in a prompt and professional manner
- Queries/Issues are resolved (or escalated) promptly and accurately
Completes assigned sales administration tasks in a timely and accurate manner.
- Quotes sales orders purchase orders invoices and other sales processes (and associated documentation) are completed accurately and ontime
- Products services and solutions are sourced from approved GPK Group vendors
- Licence renewals are completed before expiry
- Deliveries are arranged monitored and tracked to successful completion or escalated promptly and customers are kept informed
- Customer records in ConnectWise are current complete and accurate
- Client spending power is maximised
Product knowledge and representation of the client
- Demonstrates understanding of the clients purpose products services and solutions and accurately credibly and professionally represents the client to customers and vendors.
- Customers are provided with accurate technical cost availability and delivery information about products services and solutions
- Working relationships with customers and vendors are effective professional and productive
- Customer and vendor feedback
- Researched recommendations for alternative/improved vendors and/or sourcing of products are provided to the Sales Manager
General administration
Completes administrative duties delegated by the Sales Manager including providing support for meetings communications and events.
- Administrative support is relevant timely and accurate
- Communications are effective efficient timely and considerate of the audience
Continuous improvement and collaboration
- Contributes ideas to improve products services policies processes systems and reporting and demonstrates willingness to try new ways of working: Ideas for improvement are shared and approved initiatives are implemented and evaluated
- Proactively shares knowledge/experience and provides advice/thoughts on known and emerging issues and opportunities: Is generous with time and appropriate advice and proactively provides training/assistance/input to ensure ongoing compliance and improved capability
- Continues to enhance/build knowledge skills and experience: Assigned and agreed training is completed in a timely manner.
Compliance
Complies with GPK Group policies and processes and all contracts and legislative/regulatory requirements: No breaches of policy process contract legislation regulation code etc
Other duties as required
Completes or contributes collaboratively to other work as directed by the client: Successfully delivers assigned work in full and ontime

Knowledge Experience & Skills

- A minimum of 2 years relevant sales administration experience ideally in a B2B environment
- Sound knowledge of some (if not all) of the following vendors and their products is desired but not essential: Extreme Networks Barracuda Networks/MSP Dell Microsoft (ideally in 365/Azure).
- Strong organisation skills including time management and prioritisation
- Good customer service skills and experience
- Sound relationship/stakeholder management skills
- Attention to detail and a strong process orientation
- A proactive and positive approach able to work independently and as a positive team member
- Willingness to continuously update technical and other professional skills and knowledge
- Intermediate ICT skills (Microsoft Office suite ConnectWise) good data entry skills
