Facilities Associate
Job Objective/
Purpose of Job:
Responsible for overall facility management and maintenance and is responsible for implementing and monitoring site-specific health, safety and environmental operations and tasks in the organization.
KEY ACCOUNTABILITIES
RESPONSIBILITIES
HSE Management
Conduct regular inspections, safety audits and hazard assessments of work locations, work groups, and individuals at the assigned job location.
Identify hazards and potential risks and assist with eliminating or mitigating those hazards.
Assist in compliance reviews, general risk assessments and other safety assessments to support Health, Safety and Environmental management.
Maintain relevant HSE logs and documentation.
Assist in the compliance of applicable laws and regulations.
Participate in detailed incident investigations and Root Cause Analysis.
Maintain positive and proactive relations with managers and employees, as well as our customers and regulatory agencies.
Direct communications between injured employees, their management and medical providers to ensure that all parties are aware of rights, responsibilities and recovery plans.
Facility Management
Identify problems and facilitate maintenance and repairs to systems.
Perform routine tasks.
Perform basic emergency repairs as needed and directed.
Ensure that all buildings are locked down when not in use and that all work/danger areas are locked to avoid unwanted access.
Conduct preventative maintenance on all equipment owned by Wakanow and make arrangements to repair or coordinate contracted services.
Implement and update the approved facility refurbishment program in accordance with guidelines set out by the Management team.
Ensure the inventory of tools, supplies, and stock of daily use items, consumables and critical parts is properly maintained.
Monitors contract services to ensure quality standards are met and contract compliance.
Expand and maintain a Preventative Maintenance Program.
Assist in crisis management
Ensure finalization of projects within timeline, budget & quality targets
Oversee the adequate performance of the outsource facilities services provider
Fleet Management
Maintain electronic databases of sales, registration, inspections and maintenance of fleet management.
Ensure fleet availability to meet all requests by scheduling, forecasting and surveying current user trends.
Arrange fleets and fleet operational staff to provide support
Perform vehicle registration, insurance and other documentations regarding induction of new vehicles in existing fleet.
Oversee routine and ad hoc maintenance, obtain tags for new vehicles and renew old ones to ensure schedule fleet management.
Monitor and ensure fleet operation in compliance with local and state rules and regulations.
Plan, process and execute vehicle purchase and vehicle replacement through efficient settlement.
Administration
Supervise the administration and logistics support provided to staff members
Liaise with internal clients to forge better working relationships and to resolve any issues that may occur
Define support services requirements, develop monitoring mechanisms ensuring efficient and timely delivery of support services to Wakanow procurement related activities
