JOB SUMMARY


The Outpatient Clinic Office Administrator for Carolina Therapy Services, will assist other members of the Outpatient Clinic team in daily operations including, but not limited to, the duties listed The Outpatient Clinic Office Administrator will report directly to the Director of Pediatric Services/Area Director/Clinic


ESSENTIAL RESPONSIBILITIES AND DUTIES


Greeting clients and visitors


Scheduling Appointments includes appointments/evaluations for new clients and existing Follow up with clients if client is late/does not


Maintain new referral/client information responsibilities include sending out and receiving back new client packets, schedule evaluations, file evaluation reports within 7 days and mail a copy to parent/legal guardian and a copy to referral source, schedule client with therapist, enter new client into billing software, ensure all information in client chart is complete so we can bill for


Responsible for obtaining coverage for evaluations and Responsible for oversight of clinic staff member s schedules to ensure treatment time is maximized and all clients are seen as


Preparation and management of client charts responsibilities include preparation of patient chart at client s check-in, enter client in electronic health record (onset, SOC, date, name, DOB, insurance, co-pay, codes).


Provide Billing Support Collect any co-pays and/or other amounts owed at client check-in as instructed by the Outpatient Billing Send all co-pays to corporate office as instructed and in a timely


Ensure all equipment is stored appropriately and is in good working Ensure any work orders for equipment or facility repairs are directed to corporate in a timely


Responsible for maintaining a safe working environment for staff and a safe clinical environment for


General office/receptionist duties including but not limited to answering


Other office and housekeeping duties as assigned to include but is not limited to ensuring entry way, lobby, and all common areas are safe, clean, and presentable to guests/clients/visitors at all Trash and restrooms should be monitored for Restrooms should be stocked with supplies at all Ensure a clinic policy is in place to ensure materials and equipment are cleaned on a routine


Maintain customer relationships with referral sources through verbal and/or written


Ensure current professional license for each clinical staff is displayed in designated


Assist with credentialing process as


Order Supplies Submit through Corporate Office with Area Director prior


Ensure clinic staff are entering documentation and billing charges in a timely manner by completing a close-out process via the EMR


Check clinic staff timesheets weekly for accuracy - Compare timesheet to documentation software


Ensuring that practices lead to the successful operations of the clinic by maximizing referrals and scheduling, managing cancellations and rescheduling and communicating expectations with

PHYSICAL DEMANDS

QUALIFICATIONS/REQUIREMENTS


Prefer one (1) year experience in medical billing and coding

Minimum high school diploma required; Associates degree preferred

Excellent verbal and communication skills

Excellent organizational skills and attention to detail

Strong supervisory and leadership skills



QUALIFICATIONS Certified as a CNA in North Carolina Physically able to transfer and lift resident Ability to work with others Complete training session with rehab to possess knowledge of Splinting, Ambulation, Feeding, and Range Of Motion RESPONSIBILITIES Perform Restorative Nursing Programs as ordered by Therapy or Nursing Department Complete all weights upon admission and as ordered Maintain weight records Maintain all required restorative records Attend weight and rehab meetings Report any resident problems to the Director of the Restorative Nursing Program Keep restraints and splints in working order and notify the Director of the Restorative Nursing Program of replacement needs Maintain restorative area in neat and orderly manner Attend any required training session Assist with weekly restraint audit Other duties as deemed necessary by the Directors of the Restorative Nursing Program For more information please call 910-892-0027 or email your resume To Apply by Email :
