We are seeking to fill an Administrative Assistant position, that will work directly with our senior leadership. As an Administrative Assistant you will be responsible for handling day-to-day organization and activities asked by the Senior Leadership. Administrative Assistants may be responsible for small or large tasks and must be able to multi-task in a fast-paced environment. We are ultimately looking to for another member to join our rewarding team, bringing a new outlook (not just a yes person), while also capable of completing assigned task within the timeframe provided with little to no supervision.


The following are a few roles and responsibilities that may be asked of you in this position:
  • Handle day-to-day office responsibilities
  • Answer phone calls, and return voicemails promptly
  • Create memos that outline the company s objectives and expectations of team members
  • Handling small HR responsibilities (such as recruiting, interviewing, and scheduling)
  • Compose accurate minutes of any meetings
  • Prepare daily itinerates of senior leader s schedules
  • Work in harmony with other departments, leadership, and team members
  • Compose routine correspondence to emails relayed to corporate office staff
  • Maintain appropriate record and file keeping
  • Monitor weekly and monthly goals, to ensure teams are on track for success
  • Greet guests and visitors (when applicable) with a friendly and warm welcoming smile
  • Arrange schedules, ensuring there are no overlapping conflicts
  • Compile various statistical data reports to review with leadership
  • Respond to any complaints
  • Maintain appropriate handling of confidential documents and reports
  • Act as a liaison between team members and/or third parties and senior leadership
  • Plan and coordinate various events, meetings, and conferences
  • Review schedules daily
  • Record and manage office expenses
  • Prepare agendas to meet time constraints


Requirements

  • Fluent in English (additional languages are a plus)
  • Located within the United States, and at least 18 years of age
  • Self-Starter, requiring little to no management
  • Team Player (we support the team)
  • Customer Service, Sales, or Office Experience (at least one year)
  • At least 10Mbps bandwidth strength, good cell service, with a quiet place to work
  • Knowledge of Microsoft Office (Word, Excel, and Outlook)
