The pay range for this position is between $65000.00 - $75000.00 annually. We offer a hybrid work schedule with 3 days in the office (Monday Tuesday & Thursday) and 2 remote days (Wednesday & Friday).

Any pay range disclosed is based upon a combination of neutral factors such as required qualifications experience education skill training certifications seniority etc. Follett Content Solutions reserves the right to provide any successful candidate a salary at the most appropriate level set as a result of such candidate qualifications experience education skill training certifications or seniority.

Position Overview:

The Traffic Planner knows every aspect of the Communications and Creative Services teams project workflow and production processes and keeps projects moving under pressure and tight deadlines. This position works and collaborates with upwards of 50 internal team members across Marketing Lead Generation Print Production Sales Product and HR teams overseeing and managing an average of 150 tasks per week.


This position is diligent on keeping current with all elements and phases of a multi-channel marketing lead generating and sales campaign. This individual ensures each project is accomplished on task and scheduled to meet the designated deadline. S/he is responsible for assessing all project requests that are submitted building out accurate projects and campaigns in the project management tool coordinating and communicating needs across stakeholders understanding the status of each deliverable anticipating and notifying appropriate team members of possible challenges and delays and trouble shooting and adjusting the necessary timelines and resources as needed.


This position requires a candidate who can coordinate and track the status of multiple complex and competing simultaneous projects and keep things running smoothly across the department. It demands organization attention to detail adaptability and a diplomatic touch. The Traffic Planner is comfortable working in a fast-paced team environment and is willing to help the team whenever necessary. S/he is an excellent communicator of concise accurate deadline-driven information and is an expert at tracking and disseminating information as well as working with team members that stretch across strategy content digital and traditional marketing copywriting graphic design event management data and more.


Key Accountabilities:

(80%) Project Planning and Coordination:

Develops manages and owns the workflow process from marketing project assignment to setting deadlines and completion.

Receives and reviews all submitted project and single-edit requests ensuring all necessary information and assets are included; follows up with stakeholders and gathers any missing information prior to the project kicking off.

Prioritizes and re-prioritizes the project queue based on business objectives and resource availability. Adjusts project deliverable dates accordingly and communicates all movement with key members.

Creates accurate timelines in project management software to ensure work will be completed within the requested deadlines while allowing ample time to meet high-quality standards and expectations paying special attention to advertising and event deadlines as they have no flexibility.

Reviews and re-reviews workloads with Creative Services Manager and Communications Manager proactively makes recommendations and adjusts assignments as needed making sure the appropriate talent is used workloads are evenly maintained and deadlines are met.

Oversees the segment calendars in conjunction with channel experts ensuring appropriate cross-promotion and minimal audience overlap.

Confirms each team member knows the assignments they need to complete and the corresponding dues dates. Acts as the mediator between all team members to establish and re-evaluate priorities.

Adjusts each project schedule and overall workload as job demands change. Informs team members of any updates and changes as and when they occur.

Reviews all projects and tasks within the queue and pipeline to ensure a firm grasp on all project statuses and accuracy of timelines.

Anticipates and flags any potential delays or issues with projects and tasks and brings together the appropriate stakeholders to address said issues.

Maintains comprehensive project documentation and continually trains team members on the tool and develops efficiencies and process flows that will require adjusting as business needs evolve.

Responsible for ongoing self-training on the tool to ensure the department is utilizing all appropriate capabilities.

Oversees account set-up and trouble shoots issues for all team members accessing the tool.

Develops pipeline/status reports and dashboards as needed and requested.

Conducts final reviews of deliverables to ensure they meet technical specifications and implements QA protocols for recurring asset types.

Evaluates new project management and collaboration tools and recommends adoption where beneficial.


(20%) Logistical Support and Execution:

Coordinates the announcement and execution timelines of State Awards in collaboration with the Creative Services team.

Schedules and publishes social media content as outlined and approved by the Content Marketing Strategist.

Manages timelines and ensure timely submission of assets for media buys.

Provides ongoing support for the webinar program including registration page setup process oversight and backend asset delivery.

Maintains and updates marketing assets across the Asset Library Sales Locker and Internal Library to ensure accuracy and accessibility in coordination with the Creative Services Manager.

Oversee Booklist set-up and ensures seamless two-way integration between and .

Performs other duties as assigned to support the boarder Communications and Creative Services teams and business objectives.


Requirements:

  • Bachelors Degree or Equivalent Experience
  • Advanced Computer Skills
  • Proven work experience in a similar project coordination/management role.
  • Minimum of 3 years of experience in project management from conception to delivery.
  • Experience developing and implementing SOPs or workflows enhancements.
  • Fast learner with demonstrated success in a fast-paced environment.
  • Ability to prepare and interpret flowcharts schedules and step-by-step action plans.
  • Solid organizational skills including multi-tasking and time-management.
  • Strong written and verbal communication acumen.
  • Strong command in the Microsoft suite of products.
  • Expert knowledge of project management software (RoboHead Workfront Basecamp or like).
  • Familiarity with digital asset management systems and content libraries.
