About the position

The International Institute of Tropical Agriculture (IITA) Rwanda seeks to recruit a qualified and proactive Assistant II Finance and Administration to support the efficient implementation of financial and administrative operations within the country office. The position holder will assist in maintaining accurate financial records preparing financial reports and ensuring compliance with IITA and donor financial policies and procedures.


S/he will support the optimization of financial systems facilitate timely processing of payments manage travel logistics maintain inventory and store records and provide administrative and logistical support to staff and project activities. The incumbent will also assist in training and supporting partners and field staff on financial and reporting procedures to strengthen accountability and operational efficiency.


This role requires a highly organized detail-oriented individual with strong financial acumen integrity and the ability to multitask effectively in a dynamic work environment. The successful candidate will demonstrate a strong commitment to teamwork accuracy and continuous improvement in administrative and financial management practices.


Duties & Responsibilities

  • Support the optimization of business financial systems to enhance partners accounting accuracy efficiency and internal controls.
  • Review and update the financial components of partners business plans to align with current operational realities and support partners in interpreting and applying financial data for decision-making.
  • Ensure proper filing of financial and accounting records for easy retrieval.
  • Prepare and review periodic financial reports including budget execution reports and year-end financial statements to assess financial health and performance.
  • Provide training and technical backstopping to finance staff within partner organizations on financial management tools reporting procedures and best practices.
  • Coordinate local workshops and conferences.
  • Support staff with travel claims justifications and related documentation.
  • Coordinate travel arrangements for staff.
  • Maintain stores and manage inventory records.
  • Provide administrative and logistical support to the team and office operations.
  • Perform any other tasks as may be assigned by the supervisors.

Requirements:

  • Degree Business Administration/Project Management or other relevant subject with proven office management experience
  • Proven capacity and experience as personal secretary in executive email and agenda management.
  • At least 1 to 2 years of relevant work experience in office operations and administration.
  • High level of computer skills and ability to learn new applications quickly.
  • Excellent oral and written French and English communication skills.
  • Must be able to work independently with minimal supervision and participate as a team member in accomplishment of duties.
  • Possess excellent interpersonal and communication skills good judgment and a high level of respect for confidentiality.
  • Strong ability to coordinate prioritize and organize workload; is flexible and able to work under pressure.

Terms of employment

This is a nationally recruited position based in IITA Office Kigali Rwanda . The contract will be for One-year period subject to a probation period of three (3) months and is renewable depending on performance and availability of resources.

This position is graded at BG05 with a minimum basic salary of 690839.00 Rwanda Franc level in a scale of BG01 to BG14 (BG14 being the highest level according to the Alliance job classification framework policy).
