Job Summary

We are seeking a strategic and resourceful Executive Assistant to support two directors (Japan and ASEAN China Australia) within our Corporate HR organization. This role offers an exciting opportunity to provide comprehensive executive support while contributing to various HR initiatives across our diverse global markets. The ideal candidate will demonstrate exceptional organizational skills cultural awareness and the ability to manage complex priorities in a fast-paced environment.

Key job responsibilities
Proactively manage complex calendars for two directors ensuring effective prioritization and seamless coordination across multiple time zones
Plan and execute comprehensive domestic and international travel arrangements including complex multi-day meetings and expense management
Lead the coordination of department-wide meetings and strategic planning sessions managing logistics and ensuring proper documentation
Develop and maintain efficient systems for organizing confidential documents and team resources
Manage meeting outcomes by capturing key decisions tracking action items and driving follow-through
Synthesize operational data and information for leadership reviews and presentations
Act as a key liaison between directors and their leadership teams facilitating communication and resolving queries independently
Manage communications and materials through English-Japanese translation ensuring accuracy cultural appropriateness and proper business tone for HR documentation and leadership messaging
Collaborate with other executive assistants across regions to ensure alignment and consistency in processes


- Experience with Microsoft Office products and applications
- Bachelors degree
- 5 years of executive assistant experience
- Native-level Japanese and English language proficiency (verbal and written)
- Proven experience managing complex calendars and international travel arrangements
- Strong proficiency in Microsoft Office Suite (Outlook Excel PowerPoint Word SharePoint)
- Demonstrated ability to maintain strict confidentiality and exercise professional discretion
- Track record of managing multiple projects simultaneously
- Experience in organizing and documenting meetings and tracking action items

- Experience leading process improvements
- Experience in a fast-paced high-tech company
- Experience in supporting senior executives in a global organization
- Background in HR operations or processes
- Demonstrated cultural awareness and experience working across multiple regions
- Experience in large-scale event planning and execution
- Strong problem-solving skills and ability to work in ambiguous situations
- Track record of process improvement and optimization
- Proficiency in collaboration and document management tools
