Job Summary

The purpose of this role is to provide a high level of administration support to the Grosvenor Landscape Management (GLM) team who manage our gardens in order to improve the operational efficiency of the services provided to our tenants.

Key Responsibilities

Garden Memberships Administration

  • Key contact for tenants and member queries including coordinating and distributing garden memberships.

Office Administration

  • Coordinate Purchase orders and Credit card administration.
  • Suppliers accounts and queries.
  • Provide administration support to gardeners data filing / issuing letters for garden issues.
  • Administrate in house and external job specific training sessions.
  • Provide team admin support.
  • Provide access to the garden for contractors deliveries and events - ensure that garden notices are displayed a minimum of one week before the start of works in garden.

Community Engagement

  • Support local community organised events i.e. schools charities community works that the team are involved.
  • Support the schedules for the Forest School organising staff when required for teaching
  • Assist in planning organising and managing small scale events held in the gardens.

Health Safety and Environment

  • Support the team to ensure all H&SE responsibilities are fulfilled and that staff residents visitors and contractors safety and welfare is maintained.

Key Requirements

  • Proven experience in a similar role. Excellent organisational skills with an ability to operate purchase order systems. Prioritising activities that create greatest value; managing time cost and resources effectively.
  • High level of understand for MS Office Suite.
  • Knowledge of the Yardi Voyager system or similar.
  • Ability to work on own initiative. Proactive flexible multi-tasker with a positive can do attitude.A self-motivated enthusiastic and confident individual who works well with others in a practical & pragmatic approach to getting things done; influencing with integrity.
  • Ability to draft communications and present documentation to the required high standard with strong attention to detail.
  • Clear communication skills both written and oral and providing excellent service when dealing with internal and external customers in a calm considered manner.
