Job Summary
The Specialist II Vendor Master is responsible for supporting the management and maintenance of the Companys Approved Vendor List (AVL) in the global Enterprise Resource Planning (ERP) system with a primary focus on vendor banking information. This role ensures the accuracy integrity and compliance of vendor records in accordance with company policies regulatory requirements and audit standards. Serving as a subject matter expert in vendor records and banking entries the Specialist II provides guidance to cross-functional teams and supports process improvements in vendor master data management.
Principal Duties and Responsibilities
Vendor Banking Oversight Leads the management and control of vendor banking information within the ERP system ensuring accuracy completeness and compliance with internal controls and audit requirements.
Vendor Setup and Maintenance Assists with the review of the end-to-end processes for vendor creation modification and deactivation with a strong emphasis on banking details segregation of duties and adherence to Company policies.
Compliance & Screening Supports Restricted Party List Screening (RPLS) and ensures vendors meet all requirements before approval.
Stakeholder Collaboration Acts as a liaison between Supply Chain Accounts Payable Treasury and ERP system teams to ensure accurate setup and secure maintenance of banking data.
Audit & Documentation Organizes validates and maintains vendor banking records for internal and external audits; provides timely reporting and analysis.
Process Improvement Participates in or leads initiatives to strengthen controls improve efficiency and maximize automation related to vendor banking and master data.
Contracts Coordination Assists the Supply Chain Contracts Team to ensure appropriate terms and conditions are in place before vendor establishment in the ERP system.
Project & Task Management Ensures timely completion of tasks and projects meeting global deadlines and service-level agreements.
Other Duties Performs additional responsibilities as assigned in support of Vendor Master and Supply Chain initiatives.
Qualifications / Education
Bachelors degree in accounting business administration supply chain management or related discipline (required).
Minimum of four (4) years of progressive experience in supply chain accounting or operations with direct vendor master and banking data management exposure.
Oil and gas or petroleum industry experience (preferred).
Skills & Experience
Experience using ERP systems; with knowledge of PeopleSoft vendor master files and banking processes (preferred).
Demonstrated ability to analyze interpret and reconcile complex data sets with precision and compliance.
Knowledge of procurement accounts payable and banking integrations with financial systems.
Microsoft Office Applications with advanced proficiency in Microsoft Excel (pivot tables imports/exports automation).
Experience with document control and banking verification tools.
Skilled at collaborating across global functions and professionally communicating with stakeholders at all levels.
Strong problem-solving risk assessment and decision-making capabilities with a continuous improvement mindset.
