Role Description:

Arcadis is seeking a highly skilled and motivated Project/Document Specialistto support one of the most iconic and consequential infrastructure initiatives in the United States the Gateway Hudson Tunnel Project (HTP). In this role you will ensure compliance with federal state and organizational requirements for document retention change management contract administration and reporting.

We are working in partnership with Parsons and Mace as part of the MPA Delivery Partner team selected by the Gateway Development Commission to deliver this transformative project. The HTP is a critical component of the broader Gateway Program one of the most ambitious and impactful transportation initiatives in the nation and is designed to strengthen mobility enhance resiliency and ensure the long-term reliability of the Northeast Corridor.

The project encompasses the construction of a new two-track rail tunnel beneath the Hudson River along with the full rehabilitation of the existing 113-year-old North River Tunnel. This vital infrastructure supports more than 200000 daily passengers via Amtrak and NJ TRANSIT and serves as a backbone for economic activity and connectivity between New York and New Jersey.

Role Accountabilities:

  • Implement and maintain project-specific document control systems for tracking storage and retrieval of all project documentation.
  • Assign document numbers according to project guidelines and ensure all entries conform to established numbering procedures.
  • Maintain original documents and check print files ensuring superseded revisions are properly archived.
  • Manage the distribution recording and storage of all documentation and related materials in accordance with approved procedures and regulatory requirements.
  • Support document retrieval in response to public records requests and audit inquiries.
  • Support the preparation and maintenance of Approval Requests (ARs) and Change Order Requests (CICs) logs.
  • Support office management activities as needed including supplies coordination and documentation for leased office spaces.

Required Qualifications:

  • Bachelors degree in Business Administration Construction Management Engineering Information Management or a related field (or equivalent work experience).
  • 3 years of experience in document control project administration or contract management preferably in infrastructure engineering or public sector projects.

Key Skills and Abilities:

  • Strong knowledge of document numbering and retention policies.
  • Excellent organizational skills attention to detail and ability to manage multiple priorities.
  • Strong communication and interpersonal skills for stakeholder coordination.
  • Proficiency in Microsoft Office Suite and experience with digital collaboration platforms.
  • Working knowledge of change management processes for large capital projects.
  • Familiarity with public records policies and audit requirements.

We offer nine paid holidays and 15 days PTO that accrue per salary range for this position is $75000- $100000. Actual salaries will vary and are based on several factors such as experience education budget internal equity project and location.
