Were seeking a highly organized and detail-oriented Administrative Support Specialist to join our fast-paced multi-brand team. This role is essential in streamlining operational workflowshandling high-volume application reviews recruitment vetting customer communications and content checks. Your precision and speed will empower client-facing teams to focus on strategy and relationship-building.
Key Responsibilities
Application Review
Review 50100 applications per brand with accuracy and consistency
Complete each batch within 4590 minutes
Recruitment Vetting
Screen and save 100 high-quality profiles per brand in 90 minutes
Prioritize relevance and alignment with brand-specific criteria
Customer Communication
Respond to 2030 brand/customer inquiries daily
Maintain a professional empathetic and consistent tone (avg. 90 seconds per response)
Content Submission Review
Evaluate 2030 content submissions per brand (3045 minutes)
Ensure compliance with brand guidelines and quality standards
Campaign & Workflow Support
Assist in email campaign setup and scheduling
Help configure workflows for sampling and campaign initiatives
Create and refine templates for communications and reporting
Provide ad hoc operational support to CSMs and campaign managers
Capacity & Allocation
One specialist typically supports 45 brands
80% of time dedicated to recruitment vetting and application reviews
Remaining time allocated to communications content review and campaign support
Skills & Qualifications
Exceptional attention to detail and organizational skills
Proven ability to manage high-volume tasks efficiently
Proficiency in Spanish Portuguese and English is required.
Strong written communication and professional tone
Proficiency with Google Workspace and project management tools
Prior experience in administrative or operations support preferred
