Job Summary
The primary objective of the Front Desk Receptionist is to answer a multi-line switchboard quickly (ideally within 3 ring cycles) and direct calls to their destination without delay. Greeting customers answering questions announcing calls and ensuring calls are routed to the correct department or employee. They will also coordinate the offices administrative activities and storing retrieving and integrating information for dissemination to staff and clients. This position performs routine clerical secretarial and administrative duties.
ROLE AND RESPONSIBILITIES
- Answer the phone promptly (within three rings)
- Type and word-process various documents and electronic information
- Manage organize and update relevant data using database applications.
- Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups.
- Interpret instructions and issues arising and then implement actions according to administrative policies and procedures.
- Develop ability to work without constant direction supervision and remain at assigned post for extended periods of time.
- Adhere to stated policies and procedures relating to health and safety and quality management.
- Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.
- Order supplies as needed through approved vendors.
- Process sales orders through the system and prepares documents for shipping.
- Customer Service support tracking orders providing reference numbers for customer and other similar requests.
- Print collateral material for the sales department.
- Maintain a neat and orderly office.
- Operates and gains knowledge on the operation of all office machines.
- Presents a positive and professional image of Laguna Tools to our customers vendors and co-workers at all times.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Minimum High School diploma or equivalent plus 1 year of relevant experience
- Must be able to read write and speak English
- Ability to read write and speak Spanish a plus
- Types 40 wpm

This is a full-time position. Days and hours of work are Monday through Friday 8:00 a.m. to 5:00 p.m.
