Job Duties
The Virginia Department of Agriculture and Consumer Services Office of Plant Industry Services seeks a qualified and customer service-orientated Administrative Assistant for its Seed Laboratory in Richmond Virginia. The successful candidate will provide efficient and effective administrative support for the Seed Labs testing program and for the enforcement of the Virginia Seed Law. Duties include supporting the Seed Laboratory Manager and staff; overseeing the seed sample analysis database; preparing reports notices correspondence and other documents; maintaining office files and lab equipment; handling and tracking payments for services billing statements and collection of fees; and answering questions and assisting clients with detailed information about laboratory results. This position works in a laboratory environment and around peanuts and seed samples that have been chemically treated.
Minimum Qualifications
Knowledge of standard office practices and procedures as well as basic bookkeeping principles involving billing and revenue. Exceptional computer skills and proficiency using all standard software applications specifically MS Office (word processing spreadsheets database). Ability to communicate effectively with the public and to work with fellow employees in a professional and courteous manner; to prepare written reports and correspondence; to purchase and procure supplies and equipment; to maintain a variety of filing systems; to interpret and understand policies and procedures; to enter and maintain a database of technical information; and to work with minimal supervision. Exceptional customer service and oral/written communication skills to include proper usage of the English language grammar and punctuation. Current/recent experience working in a similar type of position that involves revenue management billing and bill tracking; database maintenance; and heavy customer service.
Additional Considerations
High School Diploma or equivalent with additional related coursework or training. Current or recent experience supporting regulatory or compliance programs and/or supporting staff working in a laboratory or state government office preferred. An equivalent combination of training and experience indicating possession of the preceding knowledge skills and abilities may substitute for this education and experience
