Job Summary
The Payroll Administrator performs and supervises all activities required for the timely and accurate processing of monthly and off-cycle payroll for approximately 400 staff and 500 student workers. This includes maintaining related records and documents documenting and updating procedures and preparing special reports for senior management and audit teams. We are seeking a detail-oriented and customer serviceoriented professional to provide exceptional support to clients resolve inquiries efficiently and ensure a positive customer experience.
Primary Duties and Responsibilities
- Accurately manage monthly payroll processing for exempt nonexempt faculty and student employees.
- Calculate and prepare manual and voided checks issued through the payroll process.
- Prepare and process all salary deductions.
- Prepare process and reconcile invoices to payroll vendors and reconcile to general ledger monthly.
- Set up and generate garnishment payments and child support payments.
- Process IRS 125 Cafeteria Plan and retirement contributions.
- Ensure proper charging of the monthly salary expenses.
- Respond to employees questions regarding paid-time-off accruals paycheck discrepancies deductions or other payroll-related questions in a timely manner.
- Work closely with Human Resources staff to resolve pay-related issues.
- Prepare and maintain standard and ad hoc reports and queries and conduct appropriate audits to ensure data integrity; prepare accruals for year-end closing.
- Oversee PTO Donation Bank additions and subtractions in coordination with Director of HR approvals.
- Process the required federal and state tax reports (quarterly annually and monthly) with Paycom assistance.
- Reconcile tax discrepancies with payroll processing company.
- Meet with new managers to train them in approving timecards and other Paycom functions.
- Audit correct and approve benefits invoices ensuring accuracy and consistency with payroll.
- Work with Accounting staff to reconcile charges for all benefit plans garnishments etc.
- Collect information manage paperwork maintain data and file reports and forms with the IRS for non-resident alien employees.
- Proactively support departmental and university initiatives to positively impact employee and student retention success and morale.
- Perform other duties as assigned as a member of the Accounting Department.
- Assist with the 403(b) audit prep work.
- Report to BLS as needed.
Minimum Qualifications
- Experience working in HR and/or benefits preferred.
- Three years payroll processing experience involving a small to medium complex payroll application; or equivalent combination of experience and education demonstrating:
- Proficient computer skills including Excel Outlook and electronic payroll systems.
- Thorough understanding of reconciliation.
- Advanced knowledge and understanding of wage and hour laws and other relevant state and federal employment laws.
- Strong interpersonal communication and customer service skills.
- Ability to maintain a high degree of confidentiality regarding salary information and related issues.
- Ability to work well independently and as a member of a team.
