Your Opportunity

At the Mission Australia head office in Darwin our Administration Officer provides high-quality administrative and secretarial support that requires sound judgment initiative confidentiality and sensitivity. Working under limited supervision this role involves managing a variety of tasks that contribute to the smooth and efficient operation of services while maintaining professionalism and discretion.

This is an on-site position where you will be the welcoming and supportive first point of contact for clients visitors and staff both face-to-face and over the phone. You will play a key role in supporting Emergency Relief which assists people experiencing financial hardship through material or financial aid such as food parcels vouchers and addition to day-to-day administrative duties you will help ensure services are delivered with respect dignity and a focus on supporting individuals and families towards self-reliance.

Your Key Responsibilities

  • Provide high-quality administrative and secretarial support exercising sound judgment initiative confidentiality and sensitivity.
  • Manage front office and reception duties including responding to enquiries assisting visitors and coordinating appointments and meetings.
  • Support Emergency Relief services including appointment bookings liaising with Foodbank and assisting with the distribution of material aid.
  • Undertake financial and administrative tasks such as processing invoices petty cash and maintaining accurate records in line with policy.
  • Coordinate meetings events and site activities including agendas minutes room bookings catering and travel arrangements.
  • Maintain office systems including filing asset registers calendars and fleet and building maintenance scheduling.
  • Build and maintain positive relationships with internal and external stakeholders to support effective service delivery.

Requirementsfor Success

  • Minimum Certificate III in Business/Administration (or equivalent experience of 3 years) with strong knowledge of administrative functions and community services.
  • Proven experience providing administrative and secretarial support in a busy and complex environment.
  • Strong interpersonal and communication skills with the ability to adapt communication for diverse audiences including vulnerable people.
  • Excellent computer skills with proficiency in Microsoft Office (Word Excel PowerPoint) and the ability to learn new systems quickly.
  • Demonstrated ability to organise and prioritise competing tasks remaining calm under pressure while working independently or as part of a team.
  • Ability to maintain confidentiality professional boundaries and sensitivity when working with clients in heightened emotional states.
  • Knowledge of Aboriginal cultural systems and protocols combined with strong local community awareness.
  • First Aid Certificate is desired but not essential.
  • Full driver licence with no restrictions.
