DescriptionAdministrative Assistant
We are looking for a highly organized and proactive Administrative Assistant to join our Frankfurt office. This role is central to ensuring the smooth running of day-to-day operations supporting projects and providing a welcoming and professional environment for both guests and colleagues. Please note this is a part-time position with details on weekly hours below.
Responsibilities
- Set up and maintain meeting rooms including AV equipment refreshments and materials.
- Greet and assist visitors ensuring a warm and professional welcome.
- Support general office coordination and liaise with facilities as needed.
- Assist with health and safety procedures including inductions and compliance support.
- Provide full administrative support to the team including diary management document formatting keeping minutes and internal coordination.
- Prepare and update PowerPoint presentations and other materials.
- Manage travel bookings and itineraries.
- Process and track expenses and reimbursements accurately.
- Event coordination and assistance.
- Attend project meetings and prepare detailed meeting minutes.
- Compile and submit a monthly project invoice forecast for the client.
- Draft the initial structure of customer proposals using available project data.
- Register new projects in Salesforce and generate project codes for use by the billable team.
Requirements
- Previous experience in an administrative or office support role.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Ability to work independently and collaboratively.
- Weekly hours for this part-time position 32 hours (Monday Thursday)
- Fluent in German and English.
