Summary:

The Document Control Specialist at FW Murphy is responsible for managing the entire lifecycle of documentation. This role involves the timely accurate and efficient preparation storage organization and retrieval of both electronic and hard copy documents. It is essential for maintaining system integrity and compliance as well as for managing all production-related documents effectively. Additionally this position will collaborate with Engineering and Operations to ensure that all new documentation is properly formatted and that all necessary documents are in place before the manufacturing release.

Essential Duties and Responsibilities:

  • Document Management:
    • Maintain the Quality Management System for the electronic distribution of approved controlled documents through Agile PLM.
    • Updating the document format for procedural documentation that is consistent with ISO9001 ATEX and IECEx and other regulatory requirements.
    • Ensure proper handling of quality documents including policies procedures templates and administrative records.
    • Support the workflow and delivery of required documents releasing new and revised documents through Agile.
    • Assist with internal and external audits as required by the document control procedure.
    • Implement and oversee document control procedures to ensure that all records are up-to-date accessible applicable documented and uploaded in Agile.
    • Manage document control systems or databases ensuring they are secure updated and user-friendly.
    • Support the release process and the upload of 8D and PFMA documents in Agile.
    • Verify that all documentation adheres to industry standards company policies and regulatory requirements.
    • Train staff in document control procedures and the use of document management systems.
    • Provide support to internal teams for any document-related queries.
    • Managing the document control database including tracking systems for FW Murphys records and document revision level status.
  • Engineering
    • Maintain and organize engineering documents including drawings specifications and technical reports.
    • Develop manage and maintain document control systems for all projects and programs.
    • Create a numerical document system file documentation and oversee review/control packages.
    • Gather log electronically and distribute various engineering documents while maintaining established files of drawings and correspondence.
    • Create and maintain distribution list matrices in Agile. Receive log and distribute all vendor documents.
    • Upload and download documentation from the client system.
    • Support the collection of records from the PPAP (Production Part Approval Process).
  • Team Collaboration
    • Collaborate with engineering product management and other departments to gather distribute and archive documents.
    • Ensure clear communication regarding document statuses revisions and updates.

Education & Experience:

  • Bachelors degree in business administration or a related field is preferred.
  • 2 years of applicable experience.
  • Proven track record of successful procurement and supply chain oversight.
  • Effectively communicates complex results and recommendations in a dynamic environment.
  • Detail-oriented with the ability to work with speed and accuracy.
  • Ability to investigate complex issues and conduct root cause analysis.
  • Passion for creating innovative approaches to solve abstract business problems.
  • Excellent communication skills.

The ideal candidate possesses the following experience skills and abilities:

  • Proven work experience as a Document Controller or similar role
  • Familiarity with project management
  • Basic knowledge of labor and corporate law
  • Hands-on experience with MS Office and MS Excel
  • Knowledge of Electronic Document Management Systems (EDMS i.e. Agile)
  • Proficient typing and editing skills
  • Data organization skills
  • Attention to detail
  • Self-directed individual capable of performing a variety of tasks.

Working Conditions:

  • Office and manufacturing environment. Must be willing to travel to customers end users conferences and other DPC sites (5-10%)
