The Logistics Specialist is responsible for the tactical execution and support of the transportation needs for TA Managed Transportation customer(s).
Key Responsibilities
Load Tracking and Reporting: Track and trace logistics loads throughout the day updating status reports and communicating with carriers to confirm ETAs.
Daily Reporting: Build and distribute a daily execution report covering all active loads highlighting completed and failed deliveries.
T-Report Management: Regularly review and update T1 T2 T4 and T5 reports documenting late pickups/deliveries with appropriate reasons and date adjustments.
Detention Approval: Review and approve or decline detention requests to ensure timely compensation for delayed loads.
Invoice and POD Tracking: Monitor Proof of Delivery (POD) entries and carrier invoices ensuring they are submitted within specified timeframes.
Weekly Carrier Communication: Send status reports to carriers 2-3 times weekly detailing pending PODs and invoices.
Out of Tolerance Management: Support weekly reviews of out-of-tolerance loads to identify and correct any discrepancies.
Monthly Reporting: Push end-of-month invoices and collaborate with the team to resolve any pending issues.
Process Improvements: Work with carriers on occasional process changes that benefit load tracking and communication efficiency.
Qualifications :
Education: Basic computer skills and training in Excel and email organization are required.
Experience: Prior experience in logistics or freight management is beneficial but not mandatory.
Technical Skills: Proficient in Excel email communication and data tracking systems such as Mercury Gate.
Interpersonal Skills: Strong communication skills for coordinating with carriers and team members patience and the ability to manage multiple priorities effectively.
Problem Solving: Ability to identify and resolve issues proactively maintaining accuracy in tracking and reporting.
Teamwork: Ability to work effectively with Logistics Planners and other team members to ensure seamless load execution.
Responsibility and Motivation: Self-driven with a commitment to accurate tracking and timely reporting.
Additional Information :
Pay: $45000-$50000
Working Conditions
Occasional extended hours may be necessary to confirm late ETAs or resolve last-minute issues.
Work is performed in an office setting with a comfortable environment ergonomic equipment and necessary technological tools for remote and in-office work.
Key Performance Indicators (KPIs)
Load Tracking Accuracy: Completion of daily tracking reports with minimal discrepancies.
Detention and Invoicing Compliance: Approval of all detention requests on time with PODs entered within 24 hours and invoices submitted within 5 days.
Carrier Communication: Effective communication with carriers to proactively address potential issues reducing surprises and improving load execution.
