Job Summary

Under the general supervision of the Associate Dean of Faculty the Faculty and Student Support Coordinator maintains and coordinates processes in support of COTA faculty and students and COTA Strategic Plan. Performs complex and sensitive assignments requiring initiative confidentiality independent judgment and knowledge of campus policies and procedures. Assignments require handling of multiple work priorities: must organize and prioritize a variety of projects and tasks in an effective and timely manner and meet critical deadlines. Maintain attention to detail and accuracy in all duties. Be accountable for results as well as for processes and document submissions.

Key Responsibilities

  • Maintains and coordinates processes for faculty and student support - Maintains and coordinates lecturer performance evaluation and range elevation processes ensuring that all paperwork/documents are done according to policy. Serves as the main resource person for the Associate Deans and faculty committees in the preparation and distribution of confidential correspondence reports and personnel documents.
  • Maintains scheduling logistical and activity-related coordination for COTAs Associate Deans - Schedules meetings and coordinates calendars for Associate Deans. Maintains annual calendar of events and deadlines (e.g. lecturer evaluations and faculty council meetings etc.) and sends reminders to Deans as needed.
  • Maintains and supports processes and workflows related to the COTA Strategic Plan and Initiatives - Assists the Associate Deans and the Director of Strategic Communications Engagement & Outreach in coordinating strategic plan activities and meetings as needed. Maintains and coordinates workflows and processes in relation to COTA strategic plan.
  • Maintains and updates intranet faculty strategic plan and other resource pages - In collaboration with the Dean Associate Deans and other appropriate parties maintains and updates intranet pages including faculty strategic plan and other resource pages.

Knowledge Skills and Abilities

The ideal candidate is a reliable team player with strong multitasking and time management skills capable of prioritizing responsibilities and meeting deadlines in a dynamic environment. They maintain a safe and professional workspace demonstrate excellent written and verbal communication skills for effective interaction across the campus community and possess a solid understanding of university policies and procedures. Technically proficient they are skilled in both PC and Mac platforms with experience using Word Excel and Common Management Systems such as PeopleSoft.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies procedures and guidelines including but not limited to safety civility information security and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the universitys commitment to a vision of excellence.

Education and Experience

Equivalent to five years of administrative support experience required.

Experience in Microsoft Office Suite preferred including project management software (i.e. Planner) preferred.

Experience working in an academic environment for 2 years preferred.

Experience working with strategic plans preferred.

Experience interpreting complex reports preferred.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Administrative Support Coordinator II

Effective 10/1/2025 a new salary step structure and job classifications will be implemented under the CSU-CSUEU Agreement. Job duties will remain unchanged; however this position may be assigned to a new classification with an updated salary range. Employees will be notified of any changes. Compensation

Salary placement is determined by the education experience and qualifications the candidate brings to the position internal equity and the hiring departments fiscal resources.

Hiring Range: The hiring range for this position is $4058 - $4727 per month commensurate with candidates education experience skills and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4058 - $6653 per month.

Time Base

1.0 time-base 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
