Job Title: Registrar
Reports to: Assistant Principal of Operations
Terms and Conditions: Full-time 12 months 8 hours per day
Rate of Pay: Grade 1 $23.77 per hour per Classified Personnel Association collective bargaining agreement.

Qualifications:

High-level organizational ability essential demonstrated ability to handle multiple tasks deadlines with frequent interruptions.
Administrative or executive secretarial experience required with 2-4 years post-secondary training or education.
Must be able to demonstrate mastery in Google Workspace and Microsoft Office Suite. Will need to demonstrate expertise in digital skills using cloud-based tools to create and share documents spreadsheets (with extensive use of formulas) presentations and files. Must be able to type a minimum of 65 wpm.
Must exhibit superior use of the English language spelling punctuation and editing capabilities to meet demand for high quality written work.
Must be knowledgeable of ISBE registration and residency procedures.
Must demonstrate mastery of interpersonal skills and cordiality.
Must observe the highest level of confidentiality and professionalism.
Must be able to organize and schedule work to meet deadlines handle emergencies attend and record meetings and prepare reports as needed.
Vast experience with Skyward and Parchment is highly preferred.
Must demonstrate excellent customer service skills.

Position Summary:
The Registrar will assist and provide support to the Enrollment and Registrar Manager in a wide variety of skilled office duties involving student registration student residency verification updating demographic information maintaining academic files student records preparing transcripts monitoring graduation requirements and working with counselors.

Essential Duties and Responsibilities:

Enrollment and Residency

Assist families with online enrollment (in person) as well as following up with them regarding missing documentation.
Assists with data processing of student enrollment data.
Evaluates transcripts of incoming students to determine number of transferring credits grades and graduation requirements.
Assists the Residency team with: collecting and verifying all leases and tax bills; collecting and verifying custody/guardianship papers; and collecting birth certificates.
Assists the Residency team with information of mail returns for Residency Verification Specialists.
Works with Residency Verification Specialists to clear residency obligations arrange visits verify residency and guardianships.
Assists with collecting and screening residency information.
Assists with multiple forms of data entry.

Student Records

Maintains and updates student records for each students temporary and permanent files.
Receives and processes requests of former students to review records collects fees and copies records.
Verifies student record information for such agencies as social security veterans administration public aid armed services courts police and other governmental and private agencies.
Communicates with transfer students former school District to coordinate the exit of the students.
Prepares and transmits transcripts and other official documents relating to students.
Processes and maintains all records regarding entry/withdrawal of students for reporting purposes.
Delete duplicate family and emergency contact users from Skyward.
Assist Enrollment Manager with adding all SpEd case managers and SpEd social workers to each special education student as well as flagging their student type code in Skyward.
Adds all medical obligations as well as financial obligations to all new students.
Assist with entering all Credit Recovery grades throughout the school year.
Works with all Division Heads to add geometry waivers safety education waivers State Seal of Biliteracy Pathways Seal etc. onto student official transcripts.
Coordinates with Data Systems to update entry/withdrawal records for all off-campus students.
Assist Data Systems with fixing errors associated with EOY withdrawal processing and rollover.

Graduation

Assists with adding graduation dates in Skyward.
Updates entry/withdrawal records for Summer School graduates and Mid-year graduates.
Orders and distributes diplomas to graduates keeping records of students not able to graduate including Summer and mid-year graduates and requirements for graduation.
Reviews state mandates prior to graduation and ensures compliance.

Reporting

Maintains accurate student data for the preparation of required reports including but not limited to building district state and federal reports and for use by other administrative personnel in the writing of grants and preparation of reports.

Other

The Registrar is the districts McKinney-Vento and Youth in Care liaison. Assists homeless families and students with enrollment setting up transportation and other school/community services. Attends West 40 trainings (virtual and in-person).
Maintains all record keeping for operation of Registrars Office utilizing available technology including but not limited to a personal computer mainframe microfilm hard copy files.
Demonstrates interest and enthusiasm for creative development of new methods and procedures exploration in current innovations and trends in student record keeping registration and graduation including development of contacts with other high school or college personnel in the field with the goal of setting a standard for operations.
Responds to telephone calls or personal contacts in a professional and businesslike manner providing information and assistance as needed responding to questions directing calls or messages schedules appointments.
Uses word processing systems to prepare a variety of typed documents e.g. correspondence reports.
Assists the Student Services Division as needed and performs all other related tasks assigned by the administrators.
Uploads student pictures to their Skyward profile after initial school upload.
Assists with multiple forms of data entry.
Other duties as assigned.

Physical & Visual Demands:

Standing for long periods sitting lifting carrying reaching fingering speaking hearing and
visual acuity required. No significant demands associated with this position.

Standard office setting.
