Responsibilities:
Provide high-level administrative support to the DEO and department.
Manage calendars schedule meetings and handle communications and correspondence.
Coordinate academic programs including resident registration course setup and course scheduling.
Oversee onboarding for faculty residents staff.
Serve as department HR liaison
Plan and manage all departmental events interviews and special programs.
Maintain departmental files secure records and office organization.
Assist in tracking of faculty and staff leave time reporting and ensure clinic coverage.
Draft and edit department communications including newsletters and website updates.
Monitor departmental budget purchasing procurement card reconciliation and invoice processing.
Ensure departmental compliance with HIPAA FERPA etc.
Salary: $53966 to commensurate (Pay Grade: 2B)
Schedule: Monday Friday 8:00am 5:00pm
May require occasional overtime as needed.
Work Location: On-Site
REQUIRED QUALIFICATIONS:
Bachelors degree in business administration or related field or an equivalent combination of related education and relevant experience.
Administrative office experience including:
o Proficiency in word processing spreadsheet email and presentation software;
o Demonstrated high-level written verbal and interpersonal communication skills;
o Strong customer service skills;
o Demonstrated ability to work independently and apply critical thinking in decision making process;
o Demonstrated organizational skills and attention to detail and;
o Demonstrated ability to handle confidential information with discretion.
Desirable:
Reasonable (1-3 years) working knowledge/experience with UI policies procedures and regulations.
Experience w/dental terminology procedures materials etc.
Working experience with:
o Account(s) reconciliation
o HR policy oversight
o Leave management
o Procurement card reconciliation and
o Graduate College Admissions process.
Demonstrated ability to handle multiple competing deadlines.
Working knowledge/experience with:
o Iowa Course Online (ICON) or similar course management systems and
o MAUI or similar student record application/platform.
Knowledge of:
o Dentistry
o Dental Oral Health Information System AxiUm or related platforml and
o Dental clinic policies/procedures
Experience with:
o Event coordination
o Fundraising support and donor communications.
