Job Summary

CAIR San Francisco Bay Area is seeking a highly capable and hands-on Operations Manager to oversee and strengthen the systems that power our growing civil rights organization. This full-time management-level position is central to ensuring CAIR-SFBAs day-to-day effectiveness and long-term sustainability.

The ideal candidate will bring significant experience in nonprofit operations and staff supervision with expertise spanning HR finance facilities IT and compliance. They will be both a strategic thinker and a practical doer-ready to lead organizational change initiatives while also rolling up their sleeves to support everyday needs from managing budgets and systems to pitching in on office logistics.

Title: Operations Manager

Location: Based in CAIRs Santa Clara office. CAIR staff are currently working a hybrid schedule with three days in-person and two days remote.

Schedule Type: Full-time. Exempt. Occasional evenings and weekends

Reporting Relationships: Reports to Executive Director. Oversees Senior Operations Coordinator and Operations Coordinator

Requirements: Must be authorized to work in the United States. Requires travel throughout the Bay Area (vehicle and drivers license )

Duties & Responsibilities:

Leadership & Supervision

  • Lead and supervise Operations staff; provide oversight to other teams in managers absence
  • Represent the Executive Director internally and externally when delegated
  • Serve on the Management Team by attending regular meetings advising executives and advancing strategic plan deliverables
  • Cultivate and maintain relationships with community leaders board donors and vendors

Operations Management

  • Ensure smooth day-to-day functioning of the organization and facility
  • Manage CAIR-SFBAs office building assets supplies and equipment contracts insurance permits pest control utilities and renovations
  • Oversee logistical needs for flagship programs including budgets permits COIs and security
  • Ensure adequate operational staffing for office and events; manage vendor contracts and records
  • Monitor compliance with laws and organizational policies; resolve potential issues proactively
  • Lead adoption of new technologies systems and processes; maintain operational calendar
  • Participate in statewide Operations Committee to align shared processes

Organizational Effectiveness

  • Efficiently manage departmental workflows and optimize inter-departmental communication
  • Improve reporting workflows inter-departmental communication and planning systems
  • Partner with leadership to develop processes and drive organizational culture shifts
  • Oversee staff training budgets professional development goals and annual planning sessions
  • Anticipate and resolve organizational challenges; implement scalable controls across functions

Financial

  • Develop and manage annual and departmental budgets with ED Treasurer and managers
  • Oversee daily financial management reporting reserves accounts and expense processing
  • Coordinate with Bookkeeper Development staff and Programs team on audits fundraising finances grant budgets donor services and sponsorships
  • Manage banking relationships; implement cost-saving measures and optimize resources

Human Resources

  • Oversee payroll benefits performance management employee records policies and compliance with safety and employment law
  • Lead recruitment hiring onboarding and offboarding processes; manage career progression systems and retention strategies
  • Collaborate statewide on HR initiatives to enhance engagement and culture

Information Technology

  • Direct IT systems and infrastructure and manage relationships and projects with technology vendors
  • Ensure cybersecurity manage hardware/software upgrades and integrate emerging tools (including responsible AI)

Marketing & Reporting

  • Partner with ED and Communications Manager on marketing strategies
  • Manage production and final review of internal and external reports

Administration

  • Support organization-wide planning communications and program delivery
  • Coordinate logistics for staff management and board meetings; annual convenings; and events

Other duties as assigned dependent on organizational needs and employee skills. All CAIR staff are required to assist in general duties such as answering phones weekly outreach and other office tasks.

Required Qualifications:

  • Minimum five years of full-time experience directly managing organizational operations across multiple functions (e.g. HR finance IT facilities compliance); nonprofit experience strongly preferred
  • Demonstrated track record of supervising staff and managing cross-departmental workflows
  • Proven success in strategic planning systems improvement and organizational development at the organizational level (not only departmental or project-based)
  • Proficiency in using data and performance metrics to evaluate effectiveness and guide decisions
  • Strong analytical problem-solving and written/oral communication skills
  • Flexibility to adapt to evolving organizational priorities and a fast-paced environment
  • A hands-on leader: ready to pitch in on everyday tasks and work alongside the team when needed
  • Deep commitment to CAIR-SFBAs mission of defending civil rights and empowering immigrant communities

Preferred Qualifications:

  • Significant leadership experience in a nonprofit advocacy or mission-driven organization
  • Strong interpersonal skills and comfort representing the organization publicly
  • Experience collaborating on fundraising donor relations or revenue-generating partnerships
  • Conversational proficiency in Arabic Farsi Dari Pashto or Urdu

Compensation & Benefits:

  • Compensation in the range of $ annuallycommensuratewith experience
