An exciting opportunity has arisen to join Social Security Scotlands Place Services branch as a Workplace Officer. Place Services is responsible for managing the central estate of Social Security Scotland overseeing travel management arrangements and coordinating the management of our national spaces. The branch is structured into four main reporting lines: Operations Strategy Property and Protective Security.

This is a hands-on varied role that plays a vital part in ensuring our workplace runs smoothly safely and efficiently. As a Workplace Officer youll be part of a supportive and proactive team delivering day-to-day workplace services across our central estate. This includes responsibilities such as Front of House distribution travel and accommodation support.

Youll be expected to use your initiative and sound judgement to provide high-quality practical support both independently and as part of a team. The role involves regular interaction with a wide range of stakeholders including staff visitors suppliers and service providers. Youll also contribute to maintaining a safe and secure working environment including supporting emergency protocols and fire safety procedures.

This is an on-site role based in the office four days per week with the opportunity to participate in an on-call rota to provide workplace support outside of core hours when required.



Responsibilities

Responsibilities

  • Research and develop operational processes to enhance service performance and remain compliant with changes in legislation and other statutory requirements.
  • Ensure the operation of the central estate and travel arrangements remain compliant with established operational policy legislation and other statutory requirements.
  • Undertake workplace tasks to ensure that the central estate remains set up to support organisational activity; including making adjustments to office / desk set up meeting / training room set up and replenishing stationery supplies.
  • Reception duties including dealing with colleagues members of the public building visitors and other parties visiting our central estate ensuring that physical security policy is adhered to at all times.
  • Distribution duties to ensure that colleagues and business areas have required equipment at home and in our national spaces.
  • Operational travel management duties in line with travel management policy; including pool car bookings and maintenance.
  • Manage external service providers to ensure that planned and unplanned facility management activity is undertaken effectively to optimise the operating environment for colleagues business areas and stakeholders.

  • Good knowledge of Outlook Microsoft Word and Excel.

Working Pattern
Our standard hours are 35 hours per week and we offer a range of flexible working options depending on the needs of the role. We embrace a hybrid working style where all colleagues will spend time in either our Glasgow or Dundee offices.
