POSITION OVERVIEW:

Head Account Clerk Accounts Payable resides in Food & Nutrition Services (FNS) within the Operations division of the Boston Public Schools reporting to the Director of Finance. The Head Account Clerk Accounts Payable is responsible for executing maintaining and controlling business processes related to purchasing and accounts payable within the Food and Nutrition Services Department. This position combines administrative financial and clerical duties to ensure efficient and accurate operations in support of departmental needs. The Head Account Clerk Accounts Payable will serve in a support role within FNS. The Head Account Clerk Accounts Payable will also be responsible for having a particular level of expertise with regard to business processes such as accounts payable.

RESPONSIBILITIES:

Accounts Payable & Purchasing Functions:

  • Process voucher payments for non-salary goods and services in PeopleSoft Financial.
  • Review and verify invoices receipts and documentation for accuracy.
  • Match and liquidate purchase orders in alignment with received goods/services.
  • Reconcile vendor statements and resolve discrepancies.
  • Ensure proper budget account coding and record entries.
  • Handle vendor communications regarding payment invoice status and order tracking.
  • Track and report sales taxes related to meal services.

Administrative Duties:

  • Provide general clerical support to departmental staff.
  • Generate reports run queries and respond to data/information requests.
  • Performs related duties as requested by supervisor which are commensurate with job classification.

QUALIFICATIONS - REQUIRED:

  • High school diploma or equivalent.
  • At least one year of experience with accounts payable and financial tracking.
  • Strong data entry math and organizational skills.
  • Ability to analyze information and maintain confidentiality.
  • Excellent written verbal and interpersonal communication skills.
  • Proficiency with Google & Microsoft Office Suite including intermediate spreadsheet skills
  • Current authorization to work in the United States
  • An understanding of and commitment to gain greater understanding of what is necessary for an urban school system to enjoy continuous improvement in an increasingly complex and competitive environment.
  • A deeply held and unyielding belief in the overarching mission of public education.

QUALIFICATIONS - PREFERRED:

  • Bilingual in English and Spanish or Haitian Creole
  • Familiarity with Boston and Boston Public Schools
