About the Role

Reporting to: Executive Director People and Culture
Employment Type: Full Time - 2 year contract

Purpose

The Receptionist is responsible for providing a professional and welcoming first point of contact for all visitors staff and stakeholders of the School. This role requires the ability to work independently demonstrate initiative and maintain the highest level of confidentiality. As the face of the School the Receptionist plays a key role in presenting a positive and professional image at all times.

Reception Duties

  • Ensure reception is attended at all times between 8:00am and 4:00pm.
  • Greet and welcome guests in a warm professional and courteous manner.
  • Maintain office security by following safety procedures and managing access via the visitor sign-in system.
  • Direct visitors to the appropriate person and notify staff promptly via phone.
  • Answer screen and forward incoming phone calls in a timely and professional manner.
  • Keep the reception area tidy and presentable ensuring all stationery forms and materials are kept out of sight.
  • Provide basic and accurate information in person by phone or via email regarding the School as required.
  • Receive sort and distribute daily mail and deliveries.
  • Order and maintain inventory of front office stationery and supplies.
  • Update the car park calendar and schedule visitor car parking.
  • Perform other clerical duties such as filing photocopying and scanning as requested.
  • Maintain the Headmasters kitchen ensuring cleanliness and sufficient stock of tea coffee milk and water.
  • Ensure reception displays current editions of School publications (e.g. weekly newsletter Grammar News).
  • Provide support to the Admin Support Team during quieter periods.
  • Open gates during lockdown periods as directed.

Other duties

  • Perform other duties as reasonably directed by the Executive Director People and Culture or their delegate.
  • Follow all procedures outlined in the Reception Procedures Manual

Hours of Work

  • Reception must be attended to at all times between the hours of 8:00am and 4.00pm.
  • Leave is generally taken during the School holiday closure period
