Where Strategic Support Meets Operational Excellence

The position of Executive Assistant provides high-level administrative and organizational support to the Division of Health Benefits (DHB) leadership team and plays a key role in advancing the divisions mission goals and objectives while promoting the statewide core values of Accountability Customer Service Safety & Health and Teamwork & Collaboration. The role supports the Chief Medical Officer (NC Medicaid) and DHB leadership by managing complex calendars anticipating needs handling confidential matters and coordinating proposals and initiatives.

Key responsibilities include overseeing technical and administrative support activities managing travel and expense reimbursements processing invoices for physician contractors scheduling meetings and assisting Associate Medical Directors with correspondence and operational tasks. The position may supervise clerical and technical staff streamline office procedures and lead special projects requiring independent judgment and discretionary decision-making. Regular interaction with DHB leadership internal staff other departments and external stakeholders requires professionalism policy interpretation and a strong commitment to effective communication and collaboration.

Knowledge Skills and Abilities / Competencies

The following Management Preferences are not required but applicants that possess these skills are preferred:

  • Experience planning and scheduling meetings and appointments for senior leaders executive staff and/or physicians
  • Demonstrated ability organizing large meetings and events (up to 50 participants)
  • Demonstrated ability to collaborate problem solve and prioritize duties in complex situations
  • Proficient in Microsoft Office products including Word Excel PowerPoint and Outlook (Visio preferred)

Minimum Education and Experience Requirements

Bachelors degree preferably in business administration or a related discipline from an appropriately accredited institutionand two years of progressively responsible administrative/office management experience;
OR
Associates degree in secretarial science business administration or a related discipline from an appropriately accredited institutionand four years of progressively responsible administrative/office management experience;
OR
High school or General Educational Development (GED) diplomaand six years of progressively responsible administrative/office management experience;
OR
an equivalent combination of education and experience.
