JOB TITLE: Executive Secretary to the Superintendent of SchoolsOPENING: Late September JOB DUTIESReports directly to the SuperintendentSupports and facilitates all areas of work that flow through the Office of theSuperintendent such as but not limited to:Creates purchase orders and prepares invoicesSupport with all staff contract negotiations at the direction of the superintendentCreate the School Calendar AnnuallyAssists in updating Administrative Procedures/PoliciesReport Administrators payroll and daily attendance e.g. IC data entrySupports and facilitates the work of the School Committee relating to daily matters andCommunicate and handle incoming and outgoing electronic communications onbehalf of the Superintendent and School CommitteePrepares meeting agendas agenda packets for posting attends school committee meetings takes accurate meeting minutes and records votes at the regularly scheduled school committee meetings handles public information requests and provides administrative support to the committee and the SuperintendentAssist in updating School Committee PoliciesProvide office and clerical support to assist with the efficient operation of the schooldistrict by working closely with staff and administrationMaintain updates with the Department of Education (D.E.S.E.) as neededAny other duties as assigned by the SuperintendentSKILLS:Excellent calendar management skills including:Schedule travel appointments and assemble materials for able to coordinate complex meetings with both internal and outsidestakeholdersStrong knowledge of Google Education MS Office including Word and handling high-stress work environmentsStrong interpersonal skills; able to work effectively through conflict and de-escalate individuals Must be passionate about working with children and familiesMust be exceedingly well organized flexible have great time management typing andfiling skills and enjoy the administrative challenges of supporting various/diverse peopleand -level written and verbal communication skills strong decision-making ability andattention to detail with the ability to keep thorough and precise records basiccomputer skills and the ability to type confidential documents ensuring they remain securePREFER:Support experience in a professional services environmentExperience as a secretary or administrative assistantBilingualExperience successfully creating and/or improving workflow processesCreative innovative talents to continuously improve workflow and outputsBachelors degree preferred or high school diploma (or equivalent) work ethic andexperience consideredREPORTS TO:Superintendent of Schools TERMS OF EMPLOYMENT:12 Month - Unaffiliated position SALARY RANGE: $75000 - $85000Please apply under employment opportunities at: Public Schools is committed to establishing a diverse inclusive and culturally responsive environment focused on teaching and learning.
