Work as part of a cohesive and innovative team to lead front desk services patient reception and related administrative functions that keep the Milwaukie High School Health and Wellness Center running smoothly. This role is responsible for patient intake registration records processing and appointment scheduling while overseeing site-level duties like office supply management space needs and coordinating with school staff to support student movement to and from the clinic. The Site Coordinator is the first point of contact for students and families and plays a key role in maintaining a welcoming organized and efficient clinic environment.
Essential Duties
Front Desk & Reception
Serve as the primary point of contact for students families and visitors
Greet register and check in patients; complete intake and reception functions
Support patients and families with understanding clinic forms insurance and billing questions confidentiality and what to expect when they engage in services
Verify medical and dental insurance coverage (private/Medicaid) for every patient using available portals
Schedule appointments across medical behavioral health dental and lab services
Follow up with patients after missed appointments to support ongoing engagement in care
Work with small groups of students (24 at a time) to answer questions adjust scheduling and connect them to internal and external resources
Facilitate communication between patients and providers by relaying messages and documenting in the EMR where appropriate
Answer and redirect incoming calls; process records and records requests via phone email and EMR working with the Records and Credentialing Specialist as needed
Scan and upload medical records into the EMR after each visit
Maintain a tidy youth-friendly reception area including signage and student resources

Site-Level Responsibilities
Track and order office and clinic supplies; maintain inventory systems
Submit custodial or facilities requests as needed to support clinic function
Work with school front office staff on student appointment passes and class-release logistics
Collaborate with medical provider to maintain emergency response kits and ensure everything is up-to-date and compliant
Coordinate with SBHC Manager on site-wide emergency response preparation and communication
Patient & Community Support
Support connections to non-clinical resources like daily onsite food pantry access for students and bimonthly access for community members
Maintain and distribute informational materials to students and families about available health and wellness services
Support SBHC team members with outreach events and health promotion activities as needed
Promote a student-centered environment by helping young people navigate services and understand how to access care

Education and Experience
Associate degree (A.S. A.A.) or two years relevant experience preferred
Experience with Epic an electronic health record (EHR) system preferred
Bilingual English/Spanish preferred
Experience working with underserved populations preferred
Experience working in a Federally Qualified Health Center (FQHC) preferred
Experience working with school districts and student (K-12) populations strongly preferred
Working Conditions
This job is located in a medical clinic and office environment on a high school campus. There is some exposure to outdoor weather while walking around school campus.
Physical Requirements
