QUALIFICATIONS:
- A minimum of a high school diploma or GED is required
- Education or equivalent experience and training are preferred
- General office skills experience preferred
- Experience and ability to function in a variety of word processing spreadsheet and database software
- Satisfy all district requirements with regard to physical health and citizenship
JOB SUMMARY:
Provide administrative assistance to the Director of Special Services while maintaining confidentiality in school/business matters. Ensure all federal/state guidelines associated with IDEA and Section 504 are followed. Able to assume responsibility without direct supervision exercise initiative and good judgment in making decisions and perform other duties as assigned.
ESSENTIAL JOB FUNCTIONS (to include but not limited to):
- Screen telephone inquiries respond to email requests and field department questions
- Excellent organizational skills communication skills and time management skills
- Possess the ability to exercise independent judgment in all aspects of the position and to deal with changing priorities
- Ability to work independently and in cooperation with members of the community and school system
- Manage multiple tasks efficiently and effectively in stressful situations
- Maintain extensive oral and written communication skills
- Prepare requisitions/purchase order requests and notify once encumbered
- Manage invoices receipts and required documentation for federal IDEA claims
- Work with EdPlan and the Student Information System (SIS) entering and retrieving data as directed
- Process Social Security Disability requests and provide documentation in a timely manner
- Order inventory and distribute materials to appropriate programs/sites
- Assist in the preparation of department claims time and effort sheets reports presentations etc.
- Assist in maintaining contracts timesheets transportation service agreements etc.
- Assist in scheduling organization and set-up of district training and events
- Work closely with the Enrollment Center to determine students IDEA and Section 504 status
- Maintain and update a directory of surrounding district contacts for records requests
- Request confidential records for incoming students follow up with subsequent request in a timely manner and maintain/update incoming records spreadsheet
- Manage IDEA and Section 504 transfer requests follow up with parent/guardian by phone and written correspondence as needed
- Work with special services department in regard to registration/reservation transportation/mileage per diem payment/reimbursement and required documentation for PD/training activities
- Maintain and update records for state Tier 2 paraprofessional requirements
- Maintain confidential IDEA and Section 504 records and files
- This work may involve sitting standing and walking and requires the ability to crouch bend kneel grasp and lift up to 40 lbs.
