Executive Assistant to the COO
About the Role
Were seeking a highly organized and adaptableExecutive Assistantto support our COO. This role goes beyond typical administrative work youll be involved in everything from managing schedules and payroll tasks to overseeing marketing projects coordinating employee/customer gifts and even applying branding to company vehicles.
Above all else this role requiresabsolute discretion and trustworthiness. You will be exposed to sensitive company and personal information daily. If you cannot handle confidential matters with the highest level of integrity this will not be the right position for you.
The ideal candidate thrives in a dynamic environment can shift gears quickly and enjoys taking ownership of a wide variety of tasks.
What Youll Do
- Provide daily administrative support: manage calendars correspondence and meetings.
- Handle sensitive business and personal matters with discretion and professionalism.
- Support payroll functions for employees overseen by the COO.
- Manage employee uniforms: track inventory place orders and distribute.
- Create and coordinate marketing materials; work with vendors on print projects.
- Apply vinyl branding on company vehicles and ensure consistency across the fleet.
- Maintain and update portions of the material ordering system.
- Plan manage and execute employee and customer gifts.
- Assist with errands and special projects as needed.
What Were Looking For
- Proven experience as an Executive Assistant or in a multi-faceted support role.
- Exceptional organizational and time-management skills.
- Ability to
switch seamlessly between different tasks and priorities
without losing focus.
- Comfortable balancing both business and personal support responsibilities.
- Strong communication and problem-solving abilities.
- High integrity and discretion in handling confidential information.
- Proficiency with Microsoft Office Suite Google Workspace or similar tools.
- A proactive resourceful and hands-on attitude.
