Description
The Academic Coordinator at Methodist University Cape Fear Valley Health School of Medicine (MCFV) will work closely with faculty staff and students to coordinate the efficient and cohesive delivery of learning experiences. The coordinator plays a dynamic role in facilitating communication logistics and academic reporting within the School of Medicine and with external educational partners.
Key Responsibilities:
- Scheduling and Operations:
- Collaborate with Foundations Phase course directors to schedule learning activities including small group learning events. Ensure schedules are distributed to all stakeholders in a timely manner.
- Ensure room and equipment reservations are made in a timely manner.
- Provide event support as needed during learning sessions.
- Academic and Administrative Support:
- Maintain relevant information and documents create reports and perform daily administrative tasks such as answering the phone and coordinating meetings.
- Collaborate with course directors to ensure course content rubrics and messages are organized and distributed on the educational platform (Canvas).
- Take and track attendance for learning activities.
- Serve as an exam proctor as needed.
- Manage and maintain proficiency with multiple technological platforms for courses (Canvas One45 ExamSoft etc.).
- Manage cloud-based storage of course materials including course content and schedules.
- Coordinate scheduling and record minutes for departmental meetings and distribute them appropriately.
- Communication:
- Serve as a liaison between students and faculty.
- Respond to faculty and student issues identify problems and propose solutions.
- Facilitate interoffice and interdepartmental communication to ensure seamless operations.
- Faculty:
- Coordinate with Faculty Affairs to ensure each teaching faculty member has a faculty appointment. Prior to the start of each course/clerkship provide a list of teaching faculty to the Curriculum Committee/Faculty Affairs.
- Maintain schedule of small group faculty preceptors always ensuring adequate group coverage and available backup.
- Maintain relationships with small group faculty preceptors and distribute preparation material for each class session.
- Track attendance of faculty for reimbursement and accreditation.
- Collaborate with leadership to ensure policies and required training materials are distributed to and completed by clinical teaching faculty and resident physicians.
- Course/Curriculum support:
- Assist with tracking medical student files to ensure all required documentation for clerkships is collected and current for each student; this includes immunizations insurance BLS/ACLS certification and other requirements.
- Effectively communicate clerkship requirements with students.
- Maintain a database of affiliation agreements for clinical teaching sites and facilitate renewals prior to expiration.
- Assist with scheduling and other necessary details for OSCEs and shelf exams.
- Serve as an on-campus exam proctor as needed.
- Coordinate with Faculty Affairs to ensure each clinical faculty preceptor has a faculty appointment. Prior to the start of each course provide a list of teaching faculty to the Curriculum Committee/Faculty Affairs.
- Set up and send out end-of-course assessment and evaluation tools
- Other duties:
- Assist with special events and workshops such as orientation white coat ceremony commencement and various student faculty and staff events/workshops. This position may require occasional evening and weekend work for special events.
- Ensure all educational activities comply with Methodist University and MU CFVHs policies and regulations such as Title IX and Information Security including but not limited to; HIPAAFERPAand other state and federal mandates.
- Track due dates of special projects to ensure timely responses and completion.
- Assist with special projects including accreditation and provide needed materials to and for other departments.
- Additional duties and responsibilities may be assigned or modified at any time with or without prior notice.
Qualifications
- Bachelors degree preferred.
- Prior experience in medical or higher education logistics or academic coordination preferred.
- Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
- Excellent interpersonal and communication skills both written and verbal.
- Proficiency withMicrosoft Word Outlook Excel PowerPoint and standard methods of digital communication along with the ability to learn and utilize new and emerging technology.
- Ability to work collaboratively in a team environment and maintain a high level of professionalism.
- Attention to detail and a commitment to accuracy and integrity in all aspects of the work.
