Description

Position Summary:

Responsible for the administration governance and continuous improvement of benefits programs across the APAC and EMEA regions ensuring statutory compliance competitive positioning and seamless employee experience. Acts as the key point of contact for benefits queries escalations and vendor coordination within HRSS.

Scope of Role:

APAC & EMEA regional coverage (ROA China EMEA and new HRSS migration markets).

Key Responsibilities:

Benefits Administration

  • Manage the end-to-end administration of statutory and company benefits (medical insurance leave schemes allowances) in assigned countries.
  • Oversee benefits enrolment changes and terminations in alignment with policy regulatory timelines and payroll cut-offs.
  • Administer annual benefits renewals working closely with vendors brokers and internal stakeholders.

2. Compliance & Governance

  • Ensure compliance with country-specific statutory benefits regulations and Coherent policy requirements.
  • Maintain benefits documentation SOPs and policy repositories ensuring up-to-date references in the HRSS knowledge base.
  • Support audits and internal controls testing ensuring all benefits data is accurate and complete.

3. Vendor & Stakeholder Management

  • Act as the liaison between HRSS local HR Finance and benefits vendors resolving escalations effectively.
  • Track and monitor vendor SLAs escalating performance issues where necessary.
  • Coordinate employee communications related to benefits programs renewals and updates.

4. Data & Reporting

  • Prepare regular and ad-hoc benefits reports (utilization cost trends) for HRSS and management review.
  • Analyze data to identify optimization opportunities and cost efficiencies.
  • Maintain accurate benefits records in HCM systems (Oracle/SF) and case management tools.

5. HRSS Setup & Continuous Improvement

  • Support migration activities for benefits processes into HRSS including SOP creation data migration and stakeholder training.
  • Identify and implement process improvements to enhance employee experience and operational efficiency.
  • Participate in HRSS governance reviews and contribute to global standardization initiatives.

Job Requirements:

Education:

Minimum Diploma in HR Business Administration or related field.

Skills & Experience:

Minimum 5 years HR operations experience with a focus on benefits administration in APAC and/or EMEA.

Advanced proficiency in HCM platforms (Oracle SuccessFactors) and case management systems.

Strong knowledge of regional statutory benefits requirements and compliance frameworks.

Experience managing vendor relationships and tracking SLA performance.

Proficient in MS Excel and reporting tools (Power BI preferred).

Ability to read interpret and apply HR policies across multiple countries.

Languages:

English at least one additional language (Vietnamese / Japanese / Korean / Filipino / Hindi).

  1. Benefits Transaction Accuracy (First-Time-Right): 99%
  2. SLA Adherence (Case & Transaction Turnaround): 95%
  3. Vendor SLA Compliance: 98% vendor SLA performance (claims processing invoices support response)
  4. Benefits Reconciliation Error Rate: 1% monthly discrepancy between HRIS and vendor/payroll records
  5. Benefits Renewal & Contract Timeliness: 100% renewals & contractual approvals completed on or before deadline
  6. Employee Satisfaction (Benefits CSAT): 4.5 / 5.0
  7. UAT/ Migration Readiness: 95% of assigned UAT defects closed & 100% benefits KB/SOPs published at go-live
  8. Audit & Compliance: Zero major audit findings against benefits processes/data
  9. Continuous Improvement Delivery: 1 documented improvement or cost-efficiency initiative implemented per year (with measurable outcome)
