Were setting up a new Executive Assistant team in the Philippines to support the Group Leadership Team (GLT). This team will play a key role in keeping things running smoothly across calendars expenses admin and everything in between.
Youll be part of a centralised EA function sitting within the Founders Office working closely with our senior leaders. Its a fast-paced high-trust environment where discretion proactivity and attention to detail matter.
What youll be doing:
- Own calendar and scheduling support for multiple leadership team members - across time zones and without the back-and-forth.
- Manage inboxes and communication where required - be the eyes and ears not just the admin.
- Process and track expenses quickly and accurately.
- Coordinate travel bookings and itineraries.
- Provide general admin support - think meeting prep notes follow-ups and staying across what needs to happen when.
- Jump in on team events logistics and one-off projects when needed.
- Keep things moving - flag blockers anticipate needs and chase things up without being asked.
- Work closely with internal teams and external partners.
- Keep clean records of processes and tasks so nothing gets lost.
- Adapt as we grow - this team is new so your input on how we run it matters.
Qualifications :
- Bachelors degree from a four-year college/university or equivalent work experience.
- Minimum 3 years relevant experience; with calendar management
- Exposure with Western teams is required
- Experience supporting multiple senior leaders (bonus points if across different time zones).
- Strong written and verbal English communication.
- Demonstrated ability to work independently and deliver results.
- Comfort with fast-moving priorities with strong organisation skills you know how to triage not just tick off a to-do list.
- High level of discretion integrity and professionalism.
- Confidence using modern workplace tools (MS Office Atlassian Slack expense systems travel platforms etc.).
- A team-first mindset youre dependable calm under pressure and willing to roll your sleeves up.
