ABOUT THE ROLE
The HR Compliance Specialist ensures the organization s full compliance with local state and federal employment regulations internal policies and health and safety standards. This role is responsible for a wide range of compliance initiatives including workplace safety workers compensation benefits administration leave management labor law postings ADA accommodations training and internal audits. The ideal candidate is detail-oriented collaborative and proactive in identifying and resolving compliance issues in partnership with leadership.
WHAT YOU WILL BE DOING
Workers Compensation (WC) & Workplace Safety
Train managers on injury and incident reporting processes.
Ensure claim portals are updated with accurate and current information.
Collect and upload medical documentation from providers.
Coordinate with managers on necessary workplace modifications and confirm compliance via bi-weekly check-ins.
Maintain accurate up-to-date employee injury records.
Schedule and manage quarterly safety meetings; create and maintain meeting agendas.
Track progress of hazard mitigation efforts at each location.
Ensure company bulletin boards and required postings are accurate and updated.
Leave Management & ADA Compliance
Manage employee leave of absence requests and documentation.
Support return-to-work processes including ADA accommodation assessments.
Collaborate with managers to enforce and track modified work arrangements as needed.
Benefits Administration
Input employee benefit information into carrier portals and ADP.
Conduct monthly benefits audits to ensure deduction accuracy.
Upload new hires and update deduction changes in Principal for 401(k).
Oversee COBRA processes for terminated employees.
Training & Development Compliance
Coordinate and support ongoing compliance training: Anti-Harassment Workplace Violence Responsible Beverage Service (RBS) Food Handler s Certification Heat Illness Prevention etc.
Develop and implement new training requirements based on legal changes.
Track and follow up with staff and managers on training completion.
Provide regular support for in-person training sessions and manager reminders.
Audits & Reporting
Conduct regular audits of employee data terminations benefits and training gaps.
Monitor weekly Payroll/Leave (PL) reports and partner with managers to proactively reduce leave triggers.
Support EEO-1 filings and ensure accurate timely submission.
Employee Records & Data Integrity
Maintain up-to-date employee files in accordance with compliance standards.
Perform internal audits to ensure accuracy of employee records benefits enrollments and termination documentation.
General HR Compliance
Monitor legal and regulatory changes and update company policies accordingly.
Ensure labor law posters and internal company policies are current and displayed properly.
Partner with managers to identify and resolve compliance issues within teams.
WHAT YOU NEED TO HAVE
Bachelor s degree in Human Resources Business Administration or related field required.
3 years of HR compliance HR generalist or benefits administration experience.
Knowledge of FMLA ADA OSHA ACA EEO COBRA and California-specific labor laws.
Strong organizational analytical and documentation skills.
Experience using HRIS ADP benefit carrier portals and leave management systems.
High level of discretion in handling confidential employee information.
Excellent interpersonal skills to support training and cross-functional collaboration.
