POSITION SUMMARY:

Provide initial customer service to all visitors and callers to the Central Office while supporting the work of Human Resources.

QUALIFICATIONS:

  1. Preference given to individuals with any combination of education and experience equivalent to graduation from high school supplemented by courses in business mathematics and accounting with experience in general office work.
  2. Demonstrate a thorough knowledge of standard office practices and procedures.
  3. Ability to effectively operate a multi-line telephone switchboard.
  4. Ability to establish and follow detailed work procedures with speed and accuracy while navigating competing priorities.
  5. Ability to communicate effectively and courteously with students staff parents and the general public.
  6. Effectively demonstrates the ability to perform the essential functions of the job and possesses a willingness to learn and grow in the work.
  7. Experience working directly with individuals and families from diverse racial ethnic and socioeconomic backgrounds.
  8. Familiarity with equity and inclusion frameworks. Models non-discriminatory practices in all activities. Respects the worth dignity and individual differences of others.
  9. Excellent written and verbal communication skills and the ability to present to diverse audiences to foster professional relationships and express and/or exchange ideas.
  10. Excellent interpersonal skills.
  11. Proficiency in the use of a variety of office/instructional equipment and technology with experience using Microsoft Office Google Workspace and email.
  12. Demonstrated leadership qualities and personal characteristics necessary for working effectively with students teachers administrators and the community.
  13. Bilingualism (Spanish-English) preferred.

ESSENTIAL FUNCTIONS:

  1. Greets all visitors while assessing their needs directing them to the appropriate person or meeting location and/or helping find an answer to their inquiry.
  2. Answers School Board Office phone lines and directs calls to the appropriate person.
  3. Sorts and routes incoming and outgoing mail and maintains the postage machine.
  4. Provides support and assistance with recruitment onboarding and retention of staff as directed.
  5. Supports scheduling coordination for building conference rooms.
  6. Assists Director of HR with distributing annual training requirements for staff.
  7. Supports onboarding process for division wide volunteers and practicum students.
  8. Shares responsibility for establishing and maintaining files (paper and electronic) for all division staff.
  9. Takes all industry standard precautions to protect students staff equipment materials and facilities.
  10. Assumes responsibility for and participates in staff development (professional growth) and training to keep materials supplies and skills up-to-date.
  11. Follows appropriate safety procedures and properly maintains equipment.
  12. Actively participates in and attends all required meetings.
  13. Maintains confidentiality when appropriate.
  14. Complies with and supports school division policies regulations procedures and the HCPS Strategic Plan.
  15. Effectively performs other duties as assigned by the immediate supervisor.

PHYSICAL DEMANDS / WORK ENVIRONMENT:

Light work lifting up to 25 pounds occasionally and/or up to 10 pounds frequently. Regular travel throughout the school and effectively interact with students staff and community members. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data determining the accuracy and thoroughness of work and observing general surroundings and activities; and subject to inside and outside environmental conditions. Regular contact with staff members and students is required. Not substantially exposed to adverse environmental conditions.
