POSITION SUMMARY
The Patient Service Clerk provides administrative and clerical support including reception maintaining databases (e.g. staff and assessment information) drafting routine correspondence compiling statistics and handling key intake procedures for receiving families into Neurodevelopmental Health. The Patient Service Clerk will support Neurodevelopmental Healths Ottawa East location(s) however some travel to the Ottawa West may be required.
RESPONSIBILITIES
Greet employees and visitors to the department.
Receive and process all referrals from families physicians community agencies hospitals
Process all completed assessment reports
Registers new patients in the hospital medical records system (CADENCE & EPIC) and order medical charts as needed.
Handle inquiries from the public i.e. program mandate referral procedures waiting lists etc.
Contact families to schedule various assessment meetings
Notify families of scheduling changes upon request.
Oversee bookings for assessment and therapy rooms to ensure efficiency
Collect statistics as required.
Coordinate storage of files with external provider (boxes records)
Distribute materials information notices etc. to current and waiting list families
Maintains inventory of stationary supplies and initiates orders as required
Establish inventory of all equipment supplies furniture and maintain on a regular basis
Perform work in accordance with the provisions of the Occupational Health and Safety Act and
Regulations and all CHEO corporate/departmental policies and procedures related to Occupational Health and Safety.
Perform other duties as required by the Director or his/her delegate.
QUALIFICATIONS
Secondary School Graduation Diploma(Essential)
Approximately 6 months of related experience(Essential)
Knowledge of computer software (Epic Sunrise Outlook) (Essential)
Experience working in a clinical environment live on Epic Ambulatory (Preferred)
Experience in patient registration using Cadence (Epic)(Preferred)
Experience in creating editing scanning and scheduling referrals(Preferred)
Experience in managing order workqueues(Preferred)
Experience in patient check outs including follow ups and recall management (Preferred)
Experience using inbasket communication in Epic(Preferred)
Ability to ensure timely completion of tasks by adjusting priorities as required (Essential)
Ability to adapt to changes to meet organizational requirements (Essential)
Communicate effectively and concisely both orally and in writing (Essential)
Deal effectively with internal and external customers(Essential)
Criminal Record Check (Essential)

RSUM DES FONCTIONS
Le ou la commis fournit un soutien au bureau et ladministration ce qui comprend la rception la tenue jour de bases de donnes (parex. linformation sur le personnel et sur les valuations) la rdaction dbauches de lettres ainsi que la compilation de donnes statistiques et la manutention des procdures principales dadmission des familles au Sant neurodveloppementale. Le greffier desservant les patients soutiendra lemplacement(s) de la sant neurodveloppementale dOttawa Est cependant certains dplacements vers lOuest dOttawa peuvent tre ncessaires.
RESPONSABILITS
Recevoir les employs et les visiteurs qui arrivent dans le Service.
Recevoir et traiter tous les documents denvoi produits par les familles les mdecins les organismes communautaires et les hpitaux.
Traiter tous les rapports dvaluation termins.
Inscrire les nouveaux patients dans le systme de dossiers mdicaux de lHpital (CADENCE & EPIC) et dautres dossiers mdicaux selon les besoins.
Traiter les demandes de renseignements du public sur le mandat du Programme sur les procdures denvoi sur les listes dattente etc.
Communiquer avec les familles pour fixer des rendezvous pour diverses valuations.
Aviser les familles de changements apports leurs rendezvous lorsque ncessaire.
Surveiller la rservation des salles dvaluation et de thrapie pour en garantir lefficacit. .
Coordonner lentreposage des dossiers avec un fournisseur de lextrieur (botes dossiers).
Distribuer des documents de linformation des avis etc. aux familles inscrites au Programme et celles de la liste dattente.
Commander des fournitures et du matriel pour le fonctionnement quotidien du Service.
Effectuer linventaire de tout lquipement et des fournitures et le tenir jour rgulirement.
Accomplir le travail conformment la Loi sur la sant et la scurit au travail et son Rglement ainsi qu toutes les politiques et procdures du CHEO et de ses services en matire de sant et de scurit au travail.
Accomplir dautres tches que lui affectera la directrice ou la personne quelle aura dlgue.
QUALIFICATIONS
Diplme dtudes secondaires (Essentiel)
