Job Description

Job Description:
An Executive Assistant (EA) to a Directorprovides high-level administrative and organizational support managing the directors schedule coordinating meetings handling correspondence and acting as a point of contact for internal and external stakeholders.They are crucial in ensuring the smooth operation of the directors office and often play a strategic role in supporting the directors work.
Key Responsibilities:
  • Calendar Management:
    Scheduling meetings appointments and managing the directors calendar to optimize their time.
  • Meeting Coordination:
    Preparing agendas taking minutes and following up on action items for meetings.
  • Communication:
    Drafting correspondence managing emails and acting as a point of contact for the director.
  • Travel Arrangements:
    Organizing travel itineraries accommodations and visa requirements.
  • Document Management:
    Preparing reports presentations and other documents as well as maintaining organized files.
  • Project Support:
    Assisting with project coordination research and analysis to support decision-making.
  • Confidentiality:
    Handling sensitive information with discretion and maintaining confidentiality.
  • Event Planning:
    Assisting with the planning and execution of events conferences and workshops.
  • Liaison:
    Acting as a liaison between the director and other departments or external stakeholders.
  • Operational Oversight:
    Monitoring deadlines tracking progress and ensuring timely completion of tasks.
  • Vendor Management:
    Handling vendor interactions for office supplies equipment and services.
  • Office Management:
    Assisting with general office management tasks such as maintaining supplies and equipment.
Skills and Qualifications:
  • Strong communication and interpersonal skills:Essential for interacting with various stakeholders.
  • Organizational and time management skills:Crucial for managing multiple tasks and priorities.
  • Proficiency in Microsoft Office Suite:Necessary for document preparation email management and calendar scheduling.
