Job Description

This position is responsible for the system administration and maintenance of the hospital wide payroll & timekeeping systems at Gillette Childrens Specialty Healthcare to ensure all employees are paid accurately and on time all federal and state reporting requirements are met and appropriate payroll records are retained.

This is a primarily remote opportunity; however the selected candidate must reside in Minnesota or Wisconsin and have the ability to work onsite in St Paul MN at minimum 3 days per month and as needed for the role. Relocation assistance is not offered for this position.

Compensation & Benefits

The hourly wage for this opportunity is $30.00/hour to $44/hour with a median wage of $37.27/hour. Pay is dependent on several factors including relevant work experience education certification & licensure and internal equity. Hourly pay is just one part of the compensation package for employees. Core Responsibilities

  • Provides excellent customer service to employees managers executives auditors government agencies and vendors.
    • Serves as main contact for the Payroll email inbox.
    • Answers questions provides assistance and remains proactive in communication (via email phone in person & written correspondence).
    • Provides data & documentation run reports complete forms and self-service systems support (i.e. - timekeeping earning statements & W-2 employment verifications etc.).
    • Available to meet answer questions and provide requested documentation to auditors agencies and vendors as required.
    • Serves as department timekeeper.
  • Assists in managing and shares the role of system administration of the timekeeping and payroll systems.
    • Identifies the need for and makes requests to the vendors IS staff and HRIS Specialist for system upgrades and enhancements.
    • Demonstrates the ability to problem solve analyze and evaluate various situations and resolves problems.
    • Works with HRIS Specialist and IS staff to develop and archive optimal performance of the application conducts system testing and perform user training on system features.
    • Processes change requests in multiple systems including HRIS/ Payroll and Timekeeping systems. (status direct deposit and tax changes)
    • Enters new hires into HRIS system.
  • Coordinates payroll data processing functions in an efficient and effective manner.
    • Collaborates with vendor and HRIS Specialist to provide specific data reporting requirements to meet internal & external needs.
    • Develops and implements a system of internal controls and audits that will ensure the accuracy of employee records of wages hours and benefits.
    • Maintains payroll specification files to ensure accuracy of tax withholdings general ledger expense distribution appropriate cut-offs benefit accruals and all insurance and miscellaneous deductions on an ongoing basis.
    • Performs audits of the accuracy and adherence to policies on employee electronic time sheets.
    • Processes payroll for GCH bi-weekly; ensuring accuracy production of checks direct deposit statements and generation of reports.
    • Processes and tracks special payments such as bonus retro-pay payouts etc.
    • Processes and tracks all special deductions such as levys garnishments and child support etc.
    • Works cross functionally with HR Finance and others to ensure that payroll is accurate and in compliance.
  • Understands and enforces all corporate federal and state pay policies.
    • Understands all pay policies to ensure consistent enforcement and communication to employees/managers (as needed) as observed by or reported to supervisor.
    • Understands keeps current and communicates to management on federal and state payroll related laws to ensure compliance as evidenced by no penalties/fines for failing to comply.
  • Completes all necessary forms to meet external and internal reporting requirements.
    • Ensures the accurate preparation of quarterly and annual 941s W-2s M-1s and M-3s and state unemployment forms (and tapes if necessary) as evidenced by completed documentation and acceptance by reporting agencies.
    • Provides payroll information as requested for workers comp claims unemployment claims garnishments/levies and verification of employment on a timely basis.
  • Audits employee retirement changes entered in the HR system after they are imported into payroll system.
    • Verifies retirement funding amounts requested by Lincoln each pay period prior to sending wire request to accounts payable.

    • Performs other payroll and timekeeping administrative tasks as required to ensure accurate and timely payroll.

Qualifications

Required

  • Associate degree or equivalent years of related experience and/or training
  • 2 years of payroll processing experience

Knowledge Skills and Abilities

  • High degree of integrity and ability to maintain strict confidentiality
  • Excellent customer service skills with all levels of the organization
  • Excellent verbal and written communication skills
  • Ability to perform under pressure while managing conflicting priorities and deadlines
  • Intermediate skills in Microsoft office suite specifically word and excel
  • Excellent attention to detail and problem-solving skills

Preferred

  • CPP designation
  • Payroll experience in a healthcare environment
  • Experience working with UKG and Kronos Timekeeping system
